How to Use This Manual
This manual is intended to cover all aspects of IP
Director and is divided into sections designed to be used
to accommodate users of all types, from the System
Engineers installing and configuring a large scale project
using all applications and multiple workstations, to an
individual Operator who requires a quick reference guide
to a particular application. Some of the information is
repeated in various areas to enable the user to find the
information required without constantly cross referencing
between various sections.
Introduction: There is a general introduction which
gives an overview of the product and descriptions of the
components that make the up the IP Director suite.
Following this there are four sections each one targeted
at a different level of system user.
Section 1: Quick Set-Up guides
A Section designed for use by an operator looking to set
up IP Director to perform a specific task or get a general
overview of how an application works, without providing
an in depth knowledge of all parameters within an
application.
Section 2: Applications
An in depth description of each application and of each
setting within them
Section 3: System Management
A Section containing descriptions of overall system
settings, such as

Introduction
A complete suite of production tools to
manage networked XT series servers
IP Director is a suite of software applications designed to enhance the
workflow of a Television production.
In combination with EVS XT series Servers, IP Director can utilize its
applications to both control multiple channels within the X-Net and also
add comprehensive logging features and database functionality. This
provides browsing capability and production orientated asset
management to increase the efficiency of any Broadcast Operation.
There are five applications designed for use on a production. Each is
integrated into the overall package and are accessed by installed
software licenses. Each of the applications can be used to perform
different tasks. This could be multiple recording of several different
events within a studio environment, which can be complimented by a
logging system to associate data with each recording, compiling media
from the database for inclusion in an edited package, or the playback of
several completed elements to multiple sources such as big screens,
key and fill switcher effects, and studio play-in. These applications are:

Each IP Director system can function as a standalone workstation
providing all applications on a production, or several workstations can
be used, running only the applications required for a specific task and
each workstation can be connected via Ethernet with a central
Database. When networked together, IP Director Database information
is available to all other workstations that are being used in other areas
of the production and enhances the overall production workflow.
IP Director can control channels of several XT servers. Each
workstation sees the X-Net as one large server whose storage is
divided into various volumes accessible by any channel from any XT
within the X-Net network.

In the Diagram below, different areas of the production workflow are

Conventionally, in a simple show a recording is made, logged on paper
sheets and then edited or played into the final production or to Air,
making reference to the logs. The desired media will then be archived,
generally by compiling onto a new tape and a new log is created to
match the new recording.
The diagram below shows which application within IP Director is
designed to assist in each stage of the workflow, not only to produce an
integrated database with video, audio, and time code information for
each clip created,
and also all metadata associated with that clip suchas: name, keywords, description, creation date, original location (server
s/n, clip position, etc), but also to control the ingest, manipulation and
play out of the media.

PRODUCTION APPLICATIONS
CHANNEL EXPLORER
Channel Explorer gives a comprehensive overview of the entire XNet
network. XT servers, XFile and XStore devices appear as individual
items in the Channel Explorer, with expandable nodes for servers in
which the IP Director systems are directly connected via RS422.
From within the Channel Explorer window, any IP Director workstation
can take control of one or several channels from different XT servers
connected on the XNet. When control has been taken, the selected
channels can also be locked.
The flexibility of IP Director allows multiple channels to be managed
together in a variety of methods:
•
Ganged Channelso
Allowing control of many channels from one controlpanel (recorders or players)
•
Key and Fillo
Allowing 2 clips to be linked in a Fill/Key pairing forplayback to a vision mixer (switcher).
•
Program/Previewo
Allowing dissolves, wipes between clips of two linkedplayback channels to play clips sequentially with a
transition either manually or from a clip-list.
These multiple playback modes can be used both on clips or clip-lists to
offer a comprehensive range of operational playback modes.

CONTROL PANEL
IP Control Panel is designed to efficiently control XT server channels
with VTR-like functions to clip, trim and playback media. The Control
Panel also has more advanced features such as the ability to:
•
build, edit and play clip lists•
use mix or wipe transitions between linked control panels setin a Program/Preview mode
•
playback in normal, loop, or bounce modes•
synchronize the playback of channels that are gangedtogether
•
offer parallel control or exclusive control to be passed to thirdparty devices (controllers, editors, vision mixers…etc)
Within the Control Panel a clip list can be built using a conventional
drag and drop technique from the database explorer. Controls for the
transition effect, transition duration, next, and skip are readily
accessible and re-ordering, insertion and deletion of clips can be made
even as the list is rolling to air
Using the Control Panel with a Secondary Control function gives
traditional devices such as linear editors the power of instant access to
any material available on the EVS XNet network. Any media, even

while being recorded, can be cued using the Control Panel
andsimultaneously controlled by 3rd party editors, controllers and switchers
using industry-standard RS-422 protocols (Sony BVW, Odetics, VDCP,
etc…).
DATABASE EXPLORER
Database Explorer displays and manages clips, playlists, bins and logs
for the media available on the EVS XNet network.
Clips & Playlists
Clips and Playlists created on XT servers, are synchronized to the IP
Director central database and can be browsed from this window.
Bins & Logs
Bins and Logs are details only present on the IP Director systems, and
add improved methods for associating clips and other details to the
user. These sections are not directly visible on XT servers, but the
results of these functions can affect clips on the XNet network
beneficially.

IP LOGGER
A log of recorded material is essential to the production process; by
using IP Logger the speed of operations is enhanced by automatically
associating logging data to content on the XNet network of servers. It
can replace the traditional paper log sheet (which produces manual
timecode, descriptions and sometimes clip numbers) with a system that
automatically links a logging entry to all record material and clips
created that are deemed relevant to the log sheet.
The IP logger provides an easy way to add descriptive data to the
media and centralize logging data. Using the IP Logger wizard, a log
sheet can be created based on specific production requirements.
The log sheet is created by capturing the timecode of important events,
and then easily adding keywords using customized keyword grids,
descriptions entered on the keyboard manually, and a level rating.
Any clip present on the XNet network which includes the timecode of
logged events, and is made from a record train that has been defined
as relevant to the current log is then automatically linked to the
corresponding entry in the log sheet. This effectively links the media on
the XNet network to a workflow that is friendly to a producer or editor.
IP Logger also features the capability to review and edit content of the
log sheet at any time during or after the event. By linking a play channel
from an XT server, the operator has a simple and flexible way to refine
logging information captured during the live event.
Compared to conventional logging techniques, IP Logger has
significant time-saving benefits, and saving time is always critical in live
production. By producing accurate logs, and providing an efficient
search engine, information is available faster to all EVS XNet users for
browsing, editing and archiving. Logs can be accessed by other users
even while they are being generated, and clips associated with the log
can be cued and used instantly.

INGEST SCHEDULER
Ingest Scheduler allows for clips to be automatically made from any
record channel under the control of IP Director at either a time
scheduled in advance or entered manually by the user. This means
multiple events over a period of time can be automatically stored as
protected clips. A clip can be created on a channel with a name, level
rating and metadata associated to it, and also be automatically placed
into a bin in the Database Explorer.

APPLICATIONS
The IP Director system also has a set of management and monitoring
tools included in the IP Director suite:
KEYWORD MANAGEMENT
A set of applications is used to manage the Keyword database, prepare
grids and dictionaries for logging, searching and browsing.
Using the Keyword Management tools, a keyword grid’s or dictionaries
content can easily be changed and organized by the operator and
production team to make it perfectly suited for any sport or live
production. An unlimited number of keyword grids, consisting of up to
300 words each can be managed by IP Director.
Keyword Management tools allows the addition of single keywords to
the database and therefore to any grid. It also allows the import of
keyword Grids generated by an XT sever, keyword grids from other IP
Director installations and also the integration of keywords and keyword
grids from 3
rd party databases which may already exist such ascompetitor lists and team or event statistical databases.
Simple text files can also be easily imported into the Keyword
Database.
KEYBOARD SHORTCUT DEFINITION
This application is used to define shortcuts that can be used on the
keyboard for each of the production applications in the IP Director suite
LOGGING ASSOCIATION DEFINITION
When the IP Director suite is opened a check is performed to establish
that all data previously stored in the database still has associations that
are correct and that the media is still available on the XNet.
This application allows the user to manually decide which aspects of
the association between clips and logs should be initiated afterwards.
This window normally is used by an experienced IP Director operator
for very specific purposes.

It also allows for a clip to be associated with a log sheet after importing
it from another IP Director workstation
Note: The Logging Association process takes around 3

How to set up for Control of
Multiple Playback
A Multiple playback mode could have uses such as:

Providing a large number of playback sources for ashow, controlled by one workstation
•
Synchronizing several sources for playback to an Editsuite

Providing several different sources to Big Screens at alive concert or show

Provide several channels of playback of one sourcerecording, for example to different edit suites, logging
areas or delayed transmission facilities, even if the
incoming recording has not yet been completed.

For the purpose of this guide, an assumption will be
made that 1 XT has been configured to work in a 0
record channel, 6 playback channel mode. It is to be
used as

2 channels ganged for playback in a PGM/PRVmode for producing clip-lists with a transition
between clips
•
2 independent play channels to 2 studio monitorsin a studio, one providing a looping animation of
the show logo, loop and one for single clips
•
2 channels linked together to provide Key andFill for graphics moves to be controlled from a
switcher.
Open Channel explorer from the menu section of the IP
Director interface, this will show an expandable tree
structure indicating the number of machines on the X-Net
with a sub directory of each of its channels, showing a
for a record channel and an for a playback
channel. The screen shot shows the 6 playback
channels, as named in the XT configuration menu, Red,
Green, Gold, Silver, Key and Fill.
By double-clicking on the RED channel, a control panel
is opened; continue to open the six playback channels by
double-clicking each in turn, as the control panel
becomes associated with the channel the brackets are
removed from the play symbol to show its new
status.
Alternatively, select from the main menu
section of the IP Director interface, a control panel

window will open but in an inactive state as an XT
channel has yet to be assigned. A playback channel can
be ‘dragged’ from the channel explorer onto the open
panel to assign it.
To load a clip to a channel, first open Database Explorer
from the main menu. In its default state, an expandable
tree structure will show clips, playlists, bins, and logs as
the primary level, with all clips created and all record
chains appearing in the right hand section of the window,
together with the metadata stored with the media

Opening the clips tree will reveal the XT machines on the
network, selecting a machine will filter the selection to
only one machine, opening the XT will reveal the pages
and so on, down to the individual banks, when a bank is
selected the clips appear in the window, complete with
all associated metadata
By dragging and dropping a selected clip onto the
required panel, it can be loaded onto the channel.

HOW TO LOOP A PLAY CHANNEL
To make a clip loop endlessly on a channel
select the icon on the control panel. This button can
toggle between normal play, loop play and bounce play
modes
HOW TO GANG THE PLAYBACK OF CHANNELS
To gang 2 or more channels together, use the standard
command of shift + click or ctrl + click to select the
channels required, then use right click to see the
contextual menu, and select the gang command from the
menu. The ganged channels will now have a next
to them to signify their new status
Pressing play on any ganged panel will roll all panels
that have been ganged together.
Note: It is possible to have up to as many
different groups with any number of channels per group

ganged together performing different tasks on a
production. A number will appear next to the Gang
symbol to indicate the group it is part of
Ganged control panel is automatically opened by double
clicking on one channel of the group.
TO UNGANG THE PLAYBACK OF CHANNELS
To ungang channels, use the standard command of shift
+ click or ctrl + click to select the channels required,
then use right click to see the contextual menu, and
select the ungang command from the menu.
Channels can be selected even if there are a part of
different groups, each selected channel will be removed
from the ganged group of channels it was part of and no
gang symbol will appear next to it in the display.
TIP: If the media is not aligned correctly to other
media for the ganged playback then using any of the
methods below will temporarily disable the gang feature to
allow for alignment of the media on that channel. Once
aligned the channel gang can be re-enabled
HOW TO ASSOCIATE CHANNELS TO PROVIDE A
PGM/PRV MODE
At least 2 playback channels must be available to run
this mode. This must be the PGM 1 and PGM 2 of the
controlled machine. To initialize this mode, use the
standard command of shift + click or ctrl + click to select
the channels required, then use right click to see the
contextual menu, and select the PGM/PRV command
from the menu.

Select PGM1 to become the PGM output and then PGM2
to become the PRV. This mode allows the operator to
play several clips ‘back to back’ with transition effects.
When running a clip-list this mode uses PGM2 as the
PRV channel necessary for using transitions.
When playing single clips, the next clip can be selected
on the PRV channel and a TAKE button is present and
active on the PGM control panel in this mode to allow the
clip selected on PRV to be transitioned to manually.
Please refer to the section on PGM-PRV settings in the
Control Panel Chapter for a detailed description of the
settings available for this mode.
HOW TO ASSOCIATE CHANNELS TO PROVIDE A KEY
AND FILL MODE
To associate 2 channels together for use with Key and
Fill operations use the standard command of shift + click
or ctrl + click to select the channels required in Channel
Explorer, then use a right click to see the contextual
menu, and select the Fill & Key command from the menu.

The association will be shown in the Channel Explorer by
a on the Fill channel and a on the Key channel
and also be reflected in the title bar of the Control
panels
Note:
The Key and Fill channels selectedmust be on the same XT server
To choose the Key and Fill clips select the Key clip
required, press ctrl + shift + click and move the mouse to
the Fill clip you want to associate the selected Key clip
to, release the mouse to complete the process. A Key
thumbnail will appear in a column in the database
Explorer. By right-clicking on the fill clip a contextual
menu appears and by selecting the ‘View Key Clip’
option the association can be confirmed.
By drag and dropping the fill clip onto a fill channel to
load it, the key clip will also be loaded automatically
onto the key channel that has been associated to take it.
HOW TO CONTROL CHANNELS WITH A SWITCHER,
EDIT CONTROLLER OR 3
RD PARTY DEVICEExclusive control of any channel can be achieved using
the ‘2
nd Control’ feature of IP Director which switches thecontrol between IP Director and the other device, when
the port and protocol settings have been assigned to
work in Exclusive mode.
Simultaneous control of any channel can be achieved
when the protocol and port settings have been assigned
to work in Parallel mode.

How to Set up IP Logger
LOGGING A SINGLE EVENT
During a live multi-camera event, one of the main advantages of
using an IP Director is the ability to create a log which relates
events with timecodes, camera angles, clip numbers and
metadata in a fast and efficient way so as not to interfere with,
but compliment the live production while also producing
invaluable data for future use of the material after the event.
For example, this feature can be used to produce logs on:

Live Sports Events•
Live Music Concerts and Entertainment Shows•
Reality Shows•
Logging individually several simultaneous incomingfeeds to a broadcast facility
•
Logging any recording that is made and clipped or existson an XT or XFile disk

To start IP Logger, select it from the main tool bar.
A new window will open for the live logging application but with
features in an inactive state because no log characteristics have
yet been defined for this sheet.
To start a new log sheet, click on File and select New Log Sheet
in the menu. This starts the log sheet wizard with 4 Steps to
define the parameters for the Log. Each step is concisely
described on screen to assist in defining the characteristics of the
log.
Step 1:
A name and a date for the log must be defined. A description is
optional as it will only appear in the log characteristics screen.

Parent:
The log sheets are filed in the Database Explorer in a tree structure, the
Parent field allows the log sheet to be placed in a particular folder in
this structure. Browsing in this field displays the folders already created
in the Logs section of the Database Explorer

Select Logging Profile
A logging profile is a file generated to enable specific User Fields to be
added to a log sheet or Automatic Keywords to be managed in events
(logs) on a log sheet. For more information on Logging Profiles, please
see the IP Logger section of the manual.
Step 2
A list of all keywords that are in the IP Director database is displayed.
By associating any of these with the log sheet, each event logged will
have these as an additional set of parent keywords. When performing
a search of the database, for example if a team name is added here, in
any database search with that team name will include all items from this
log sheet. Any parent keywords used must therefore have relevance for
all events in the log sheet.
Step 3:
Each record channel on any XT server within the XNet can be defined
as a relevant source to have log information associated with it.
Similarly, if a channel recording a source which is not relevant to the
current log sheet then it should be excluded from the
list.

Right click in the ‘relevant recorders’ list to define a ‘preview recorder’.
The preview recorder definition is used to provide the timecode
displayed in the LIVE area of the log sheet. It will also be the angle
selected when the operator double clicks on an event in a log that loads
to a channel for viewing.
Note: The Preview Recorder MUST be assigned to a record
channel that is managed with a RS422 link to the XT server the channel
is on. If not, the Log Sheet will NOT function correctly, and no LIVE
Timecode will be displayed.
Step 4:
Defines all User fields requested in the selected logging profile. If no
Logging Profile has been defined in Step 1 or if no User Field section
has been defined in the logging profile, this area will remain ‘greyed’
and inaccessible.
Note: For more information on creating Logging Profiles,
User Fields, and Automatic Keywords, please see the
IP Logger section of the manual.

When the Wizard has been completed it will show its name and a
running Timecode in yellow in the ’LIVE’ window
Note: If running timecode is not displayed in the ‘live’ area, it means
the ‘preview recorder’ is located on a server with no RS-422
connection to the IP Director network.
To use the log sheet effectively it is necessary to have previously set up
and named one or more Keyword grids for use with the log. Once set
IP Director – Release2 User’s manual Page 32 of 201
up, as many keyword grids can be used with a log as required. Each
log element can have keywords added to it.
A Keyword can also be nominated as a "participant" keyword which
creates an individual column within the log. This feature could be used
to distinguish the competitor or player information from action keywords
entered which are in the keyword column
Note: For more detail on how to create keyword grids please refer to
the Keyword Management section in the manual.
Open the Keyword grid(s) required by
selecting from the title bar and using
"Keywords" and "Keyword grid".
A grid layout type can be selected
using the Customize option. The size
of the window and its screen position
can be determined using normal
windows selection techniques.
The keyword grid must be in
EDITmode.
Notes: A user must have the rights to modify keyword grid to be able
to change a Keyword Grid layout.
The Keyword Grid layout is kept in the Ip Director database
which means that you work on shared data.
All actions undertaken on Keyword grid layout will have
reverberated therefore on each Ip Director.
It is possible to use 2 VGA screens on one IP Director
Workstation dependant upon the graphics card installed in the
Chassis.
TO ADD AUTOMATIC KEYWORDS TO EVENTS
IN A LOG SHEET
Automatic keywords functions like a ‘sticky keyword’ that will persist
through all log entries made until the automatic keyword is changed.
This is especially useful when tracking the pitcher in a baseball game,
or a Period of action in a sports event, or program part of an
entertainment event.
If a definition of Automatic Keywords has been made in a Logging
Profile the Log Sheet will contain a tab window next to the Log
Information tab to permit the addition of Automatic Keywords to events
within a Log Sheet.

Each heading defined in a Logging profile appears on the tab as a free
text field or as a drop down list (as defined in the logging profile)
offering a choice of Keywords to be assigned automatically with each
event created. Each heading is a column available on the Log Sheet
and any keywords selected are added to that column upon event
creation.
If a Combo box is displayed, the list will consist of all predefined data that
was in the imported logging profile. If the user wants to add entries into the
list, simply click on the ‘ + ‘ button next to the appropriate list.
TO LOG LIVE ACTION IN AN EVENT
Press ‘New’ on the Live section of the Panel, a timecode is grabbed
and placed in a new window which opens on the log sheet. (The
default Keyboard shortcut for this action is [SHIFT]+[SPACEBAR])
Click on the rating Level stars, keyword grid(s) or use the free text area
to describe the action at the timecode value shown.
When complete, use the Insert button to add to the log being produced.
Any clips made on the relevant record channels of the XNet will appear
on the log whenever they are created (Associated Clips), even if this is
significantly before or after the grabbed timecode, the log will
automatically update whenever it sees a clip containing the recorded

event timecode.
By selecting an item in the log, right-clicking to see the contextual menu
and selecting ‘edit’, an edit window appears allowing the refinement of
more details to previously logged action at any time, to confirm the
addition or correction press the button.
HOW TO MAKE A CLIP BASED ON A LOG ENTRY
To automatically make a clip based on a log entry on the
record train selected as the preview recorder, click on
the event on the log sheet and drag the clip onto a bin in
the Database Explorer tree or onto an open window.
The clip created will have its ‘in’ and ‘out’ points
determined by the values from the "Automatic Clip
Creation based on Logs" which can be found from
"Tools/Settings" on the Main Toolbar.

HOW TO ASSIGN A PLAYBACK CHANNEL FOR USE
WITH AN IP LOGGER WINDOW
To assign a playback channel for use with IP Logger open channel
Explorer, select a channel and assign by dragging it onto it to the log
sheet. The channel name will then appear in green in the lower right
corner of the IP Log Sheet Window.
Additionally, the player area will become active and show the timecode
of the selected player channel in green, if the channel is in an EE mode
it will be the same as the live area timecode.
By double-clicking an event from the log the channel will go to the
specified timecode on the record channel defined as the preview
channel for the log. If an associated clip is selected from the drop down
box which appears when the associated clip area is selected on an
event, this clip will appear on the assigned output regardless of its
record source. The player area will display the timecode within the clip
that has been recalled.

A selected clip or group of clips can be added to a bin in Database
Explorer or to clip-list on a Control Panel for later use by using a drag
and drop command or by right clicking you can use the ‘Send to
Archive’ function from the contextual menu.
Note: If a monitoring output of the channel selected is connected to the
video card of the workstation, then by opening the Video display
panel it can be seen on the VGA. If control of the channel is
required there must be an RS-422 connection to the XT machine
the channel is located.
HOW TO SET UP FOR LOGGING MULTIPLE EVENTS
WITH 1 WORKSTATION
One workstation can be set up to produce individual log sheets
of several events being recorded on an XNet network.
This style of logging may be used for recording events where not
all events are happening simultaneously, some golf events could
be logged in this way when individual feeds of various parts of
the course are being recorded, but events can be logged by one
logger and multiple log sheets as not all feeds are active
simultaneously.

WITH SEVERAL WORKSTATIONS.
In a scenario where there is a Central Technical Area responsible for
recording many different feeds happening such as an athletics meeting
with 3 or 4 events taking place simultaneously, or a Television Sports
Centre taking incoming games from several locations, or even the
Olympic games, IP Director can be used on as many workstations as
required to log the events efficiently.

workstation and Log sheet necessary. Care MUST be taken to set each

between all workstations. This allows all data to be searched at any
time by any user

the video card of the workstation, then by opening the Video
display panel it can be seen on the VGA. If control of the
channel is required there must be an RS-422 connection to
the XT machine the channel is part of.

LOGGING OFF-LINE
In a scenario where the logging station is located in a different location
to the LIVE production (i.e the IP Logger is located in studio with no
connection to the production XNet network located in an OB van) it
could be helpful to log the event with no specific connection to an XNet
network (off-line).
How to set-up IP Logger to log off-line.
Open the IP Logger application (select IP Logger from the main tool
bar) and create a new log sheet (select File/New log sheet) from the IP
Logger menu.
Fill up all necessary steps from the ‘New log sheet wizard’, but
don’tdefine any relevant recorders. Refer to the IP Logger chapter for
more information on the New logsheet wizard.
When completed, the IP Logger will open up with the following display :
Compared to the LIVE logging situation, no T/C is running in the LIVE
zone meaning no relevant recorder has been defined.
Select ‘Link to PC timecode’ from the IP Logger menu to start logging
based on your workstation clock, then selects the T/C format from the
popup window which is displayed.
Now, the LIVE zone displays a T/C with a white foreground indicating
you can start logging.

LOGGING CLIPS
In certain circumstances you may which to log clips which already exist
on the server so that users can find specific points within them. For
example, ingested ENG rushes, restored clips to a studio server which
were created in an OB Van and then transferred from XFile drives,
edits coming from an external NLE systems, or simply, feeds which
have been previously recorded but not logged.
How to set-up IP Logger to log clips.
Open the IP Logger application (select IP Logger from the main tool
bar) and create a new log sheet (select File/New log sheet) from the IP
Logger menu.
Fill up all necessary steps from the ‘New log sheet wizard’, but
don’tdefine any relevant recorders. Refer to the IP Logger chapter for
more information on the New logsheet wizard.
When completed, the IP Logger will open up with the following display :
The clip must be associated to the logsheet. Simply select the clip to
log from the database explorer or from a bin and drag and drop it onto
the log sheet list in IP Logger or you can drag it directly onto the log
sheet in the tree structure of the Database explorer. A popup window is
displayed :

Select ‘Protect Media’. A confirmation message is displayed in the
event message box located at the bottom of the main application
window.
Select a play-back channel from the channel explorer and assign by
dragging it onto the log sheet list or in the box to the right at the base of
the panel.
The channel name will then appear in green in this area. A Timecode
now appears in the Player zone.
Double click on this channel in the channel explorer to open the
corresponding control panel. Then select the clip to log from the
database explorer or from a bin and load it onto that channel. Or, if the
channel is associated to Database explorer (in the same way as you
have just done with IP Logger) then you can simply double click on the
clip to load it.
You can now start browsing the clip from the control panel or the shuttle
pro and create logs using the NEW button in the Player area from the
IP Logger interface.

How to Search, Browse and
Organize Clips
INTRODUCTION
By being able to access a central database and perform
searches for all relevant media, IP Director gives a
Production the advantage of being able to quickly collate
the material required for a task. This technique could be
used to:

There are several ways to define the search criteria from
Database Explorer. Each method described here can be
used on its own or in conjunction with other methods to
produce the required result.
Filtering using the tree structure
The Database Explorer application has a tree structure
which enables the first phase of a search for material to
be conducted, by filtering through the tree structure it is
possible to restrict the search to specific locations on
the XNet network.

Using a Keyword Grid
To search using a Keyword Grid, open the Keyword Grid
window from the main menu and open the Grid containing
the words a search is to be made on. Select
from the Database Explorer menu
By selecting keywords on the keyword grid and then
clicking on from the keyword grid, a search of the
database is performed. The results appear in the right hand
pane of the Database Explorer application. The number of
clips meeting the search criteria is displayed in the lower
left corner of the window.
For each keyword entered the search is refined, for
example if only one word is entered all clips containing that
word will appear, if a second word is added the search will
only show the results in which both keywords are found and
so on..
Using Metadata associated with clips
The icon reveals the search tab area of the
IP Director – Release2 User’s manual Page 43 of 201
window from which you can use select columns to see a
list of the clip column headings of data stored with each
clip, depending on the tree level selected on the tree
structure, the column headings will reflect columns
available and enable them to be selected as search
filters. For more information on all filtering capabilities,
refer to the corresponding section in the Database
Explorer chapter.
TO ASSIGN A CHANNEL TO DATABASE EXPLORER
To assign a channel to Database Explorer, for use in
browsing the selected clips directly from the application
by double clicking a clip, choose an available channel
from the channel explorer window and drag it on to the
window area of Database Explorer.
The area at the bottom right of the window will now have
a green background with text showing the name of the
assigned channel
Note: Control of any channel of an XT requires that
an RS-422 connection exists between a workstation and
that XT.
Available only when a channel is assigned to the Database Explorer.
These buttons change how a clip will be loaded to the play channel for
browsing
.When enabled, selecting a clip will go to the first frame of a clip
on the associated channel, but does not play it.
When enabled, selecting a clip will go to the first frame of a clip
on the associated channel, and play it.
Note: This mode is not recommended when
selecting clips to play for live transmission as there will
be a delay between the loading of the clip and play back.

HOW TO COLLATE THE SEARCH RESULTS AND PLACE
THEM INTO A NEW BIN
If a search is being performed to find a number of clips
to be used in a project it is possible to store all the clips
identified in the search in a folder to enable fast and
easy recall of the material. The material is not moved
physically to the folder but a reference to the media is
placed in a folder, known as a bin.
To create a bin for storage, right click on the bin icon in
the tree structure and select "New clip bin" from the
contextual menu. Enter a name for the folder and once
confirmed it will appear in the tree structure.
To add clips to the folder, select them individually or as
a group and drag them onto the folder’s icon.
A bin can also be opened in a separate window simply by
double clicking on its name in the bin tree.
HOW TO PERFORM A SEARCH FOR A LOG SHEET
To Search for a log sheet or an item contained in a log
select Logs from the tree menu, use the to select
the areas of data to be searched using the column
headings selector and then enter the text to be searched
for
Note: A keyword grid can also be used to search for a
log sheet. In that case you will first activate the search mode

CHANNEL
EXPLORER
Introduction
Channel Explorer gives a comprehensive overview of all
XT servers with their respective channel configurations
(number of inputs and outputs). It also shows any XFile
and XStore devices on the XNet SDTI network.
From within the Channel Explorer application any IP
Director workstation can take control of one or several
channels from different XT servers connected on the
XNet. When control has been taken the selected
channels can then be locked.
The flexibility of IP Director allows multiple channels to
be ganged together, either for simple ganged playback of
IP Director – Release2 User’s manual Page 47 of 201
several different sources, or specialized playback modes
such as Key and Fill and a Program/Preview mode to
play clips sequentially with a transition either manually
or from a clip-list.
These multiple playback modes can be used both on
clips or clip-lists to offer a comprehensive range of
operational playback modes using a conventional
computer interface with Keyboard, mouse, and VGA
which is familiar to any computer user.

TO ASSIGN A PLAY CHANNEL TO A CONTROL PANEL
By double-clicking on a channel, a control panel is
opened and assigned to that channel; the blue brackets
are removed from around the channel icon in the
Channel Explorer window. Alternatively, a control panel
can be opened from the main menu; it will appear
inactive until a playback channel is dragged from the
channel explorer onto the open panel to assign it

TO ASSIGN A DEFAULT RECORDER FOR A PLAYBACK
CHANNEL
By right-clicking on a channel, a contextual menu
appears. If Default recorder is selected a pop up window
will allow the choice of which record channel the player
looks at the first time it is in ‘EE’ mode.

If a default recorder is not set, then:
PGM 1 takes Rec 1 as its default
PGM 2 takes Rec 2 as its default, etc…
If there are more play channels than record channels
then every additional channel takes Rec 1 as its default
TO LOCK A CHANNEL
By right-clicking on a channel, a contextual menu
appears. If lock is selected the channel will be locked
from use by other users. If the symbol appears the
channel has been locked by the workstation being
operated. If the Symbol appears in red then
another workstation has locked its use

TO UNLOCK A CHANNEL
If a channel has been locked on the local
workstation, right-clicking on a channel, shows a
contextual menu. If Unlock is selected the channel will
be unlocked.
If a channel has been locked on another workstation
right-clicking on a channel, shows a contextual menu. If
Unlock is selected a confirmation message has to be
answered to unlock the channel.
TO GANG THE PLAYBACK OF CHANNELS
To gang 2 or more channels together, use the standard
command of shift + click or ctrl + click to select the
channels required, then use right click to see the
contextual menu, and select the gang command from the
menu.
The ganged channels will now have a next to them
to signify their new status.
To add further channels to a group select all channels of
the group and the new channel required and then press
gang again.
It is not possible to gang record and play channels
together. It is also not possible to gang channels of
different groups.
Note: It is possible to have as many different
groups with any number of channels per group ganged
together performing different tasks on a production. Each
of the linking icons will have a number next to it on
the channel explorer to indicate which group it is part of.

When multiple playback channels are ganged together in
the same group, they can all be controlled from the same
interface : the ganged control panel. It can be opened
by double clicking on one channel of the group. Refer to
‘Control panels’ chapter for more information.
TO UNGANG THE PLAYBACK OF CHANNELS
To ungang channels, use the standard command of shift
+ click or ctrl + click to select the channels required,
then use right click to see the contextual menu, and
select the ungang command from the menu.
Channels can be selected even if there are a part of
different groups, each selected channel will be removed
from the ganged group of channels it was part of and no
gang symbol will appear in the display.
HOW TO ASSOCIATE CHANNELS TO PROVIDE A
PGM/PRV MODE
At least 2 playback channels must be available to run
this configuration. To initialize this mode, use the
standard command of shift + click or ctrl + click to select
the channels required, then use right click to see the
contextual menu, and select the PGM/PRV command
from the menu.

For each XT Server it is only possible to make a
PGM/PRV pair of channels from PGM1 and PGM2 of the
server. PGM1 is always the PGM channel and PGM2 will
always be the PRV channel. This mode allows the
operator to play several clips ‘back to back’ with
transition effects.
When playing single clips, the next clip can be selected
on the PRV channel and a TAKE button is present and
active on the designated PGM control panel in this mode
to allow the clip selected on PRV to be transitioned to
manually.
When running a clip-list this mode provides the PRV
channel necessary for using transitions.
Please refer to the section on PGM-PRV settings in the
Control Panel Chapter for a detailed description of the
settings available for this mode.

HOW TO ASSOCIATE CHANNELS TO PROVIDE A KEY
AND FILL MODE
To associate 2 channels together for use with Key and
Fill operations use the standard command of shift + click
or ctrl + click to select the channels required in Channel
Explorer, then use a right click to see the contextual
menu, and select the Fill & Key command from the menu.
The association will be shown in the Channel Explorer by
a on the Fill channel and a on the Key
channel and also be reflected in the title bar of the
Control panels. The first channel selected will become
the Fill and the second the Key.

HOW TO ASSIGN A CHANNEL FOR USE WITH IP
SCHEDULER
To assign a record channel for use with the IP Scheduler application
right click on a channel to open the contextual menu and select the
‘Open Ingest Scheduler(new ingest)’ command.
An Ingest Scheduler window will open and show the selected channel
in the list of recorders.
If the contextual menu is used when record channels are ganged
together all ganged channels will be added to the list.
If you wish to add multiple recorders to the list, simply drag the
individual channel from the Channel Explorer to this list.

ASSIGNING SHUTTLEPRO FOR USE WITH A CHANNEL
Pressing the ‘Select Player’ key on the ShuttlePRO controller at
any time calls up a list of channels available to be controlled, by
moving the jog dial the user can move through the list to highlight
the required channel and press ‘Select Player’ again to select and
exit the menu
The
icon is displayed on the same line as thecorresponding channel in the channel explorer, meaning
the Shuttle pro will control that channel.

Control
Panels
Introduction
The Control Panels are the graphical user interfaces
used to control channels of an XT server. The Player
Control Panel controls transport functions, makes clips,
and to produce and run Clip-Lists. The Recorder Control
Panel shows the record status of a channel and can
enable channels to start or stop recording depending
upon the XT Server base configuration. In conjunction
with the buttons on the VGA, there are also keyboard
shortcuts and dedicated buttons on the optional
ShuttlePRO controller. Where they are shown, these are
the default settings.
Note: The keyboard shortcuts can be customised
using the Define Shortcuts area of the TOOLS menu
from the main IP Director menu.
Record Panel
If an XT is in LSM base mode the recorder panels are for
information only, the actual recording mode of each
channel configured to record are set by the XT software.
Each record channel will start recording and continue in
a loop record mode from start up. The channel can not
start or stop a recording but will show the current
recording timecode and its record status.
If XT Server IPDP mode is used the panel buttons are
active can be put into record and a recording stopped
using the record panels.

TO OPEN A RECORD PANEL ASSOCIATED WITH A
CHANNEL
There are two methods to open and assign a Record
Panel:
In the channel explorer, you can double click on the
corresponding channel name
OR use a right-click on themouse and select Open Control Panel from the
contextual menu.
Alternatively, select from the main menu
section of the IP Director interface, a control panel
window will open but in an inactive state as an XT
channel has yet to be assigned. A recorder channel can
be ‘dragged’ from the channel explorer onto the open
panel to assign it.
An active Record Panel will show the location and name
of the channel and a timecode window with a display of
running timecode that the channel is recording.

Above is the view of the Recorder Panel when viewing a
LSM mode recorder. It cannot be stopped by an IP
Director workstation.

The timecode information displayed in green in the panel
is the incoming timecode of the server (should be the
studio time). The capacity information displayed is the
remaining capacity on this specific recorder channel on
the XT server.
Player Control Panel
The player control panel has been designed with
designated areas allowing its size to be changed
depending on the features in use.
At the smallest size the panel will occupy only a small
area when being used for simple transport control
By clicking on the , an expanded area appears for
use when being used for clip creation and more
advanced control features. Clicking the same button but
now displayed as returns to the basic panel.

Clip List
When Display is selected from the Clip-List menu a
further area is added to give the functionality necessary
when a panel is being used to make and replay clip lists.
When Ganged is selected from the menu a further area
is added to give the functionality necessary when a panel
is being used with ganged player channels.

MENU STRUCTURE AND SETTINGS IN CONTROL
PANEL
Each Control panel has a main menu for control
Control
Lock Panel – The Control Panel buttons are made
inactive to prevent accidental selection, it does not lock
the channel from use, it simply locks the panel interface.
Edit Clip
Edit Clip - opens the Edit Clip window to allow for
changes and additional information to be added for the
clip loaded on the channel. Refer to the Edit Clip section
later in the chapter for further details.

New – opens a new display area on the panel ready for
making a new clip list and also a pop-up window with a
prompt for a name and LsmID. Please refer to the
section on Clip-Lists later in this chapter for a detailed
description of this feature.
Rename – opens the pop-up window to enable the
renaming of a clip-list
Display or Hide – Expands or hides the Clip-list area of
the control panel
Export to csv – Allows the export of clip-list data in the
form of a csv file
Ganged Panel
When Selected this setting will open an additional area
of the Control Panel which displays information about
player channels that have been ganged with the current
channel under the control of the active control panel
This panel area also gives some additional commands to
use with ganged channels
To select a channel, double click on its name. It will then
be the channel controlled and will be highlighted in green
will synchronize the timecode on all
channels ganged in the group with the selected channel

Monitoring
This section is for the use of EVS engineers to monitor
the performance of the system, and help isolate any
support issues which may arise.
Photo
When pressed this grabs an image from the channel of
the current picture for use as a thumbnail. To create a
thumbnail the video display window must be associated
to the Control Panel.
To establish the association drag the association zone of
the control panel to the association zone of the video
display panel.

Note: For IP Director to create a thumbnail using this
methd the output of the selected channel must be connected to an input
of the workstation’s video board and the picture displayed in a video
display window on the VGA
Note: Thumbnails can be created automatically when there is
an X-File designated within the thumbnails configuration in the
Management Console application of IP Director. Please see the
Technical Reference manual for further details.

HOW TO LOAD MEDIA
To load a clip to a channel, open the Database Explorer
from the main menu. Select the required clip from the
‘clips’ area of the Database Explorer and drag it to the
panel you wish to load it on.

Clips can also be loaded using two alternative methods:

Entering the clip name in the ‘name’ field of thepanel
•
Entering the clip number and location in thenumber field, for example 000A/02.
TRANSPORT CONTROLS
The left timecode window shows the current timecode for
the material being controlled by the panel. If a record
train is loaded then it is the timecode of this train, if a
clip is loaded this area will show the current timecode
position of the clip.
Each clip loaded can be played in three different ways
Play Mode - normal - a clip will play from its IN point
to its OUT point
Play Mode - Loop continuously – plays in a
continuous loop
Play Mode - Bounce - plays continuously from IN
point to OUT point, then from OUT to IN etc….
Note: Clip-Lists can be played in either normal
play or continuous loop but not in bounce mode
Play – plays the media on the Control Panel at normal
speed (100%)

Pause – stops the playback of a clip if loaded or freezes
the record train loaded at the current timecode. The
button function changes when activated to offer a single
field jog in either direction.
Fast rewind, the value shown below the button is the
speed of operation, set from the Tools -> settings menu
of the panel. Please see the settings section in this
chapter for details.
Fast forward, the value show below the button is the
speed of operation, set from the Tools -> settings menu
of the panel. Please see the settings section in this
chapter for details.
Replaces the pause button when the output is paused, a
click on one of the buttons will move the media in one
field steps, backwards or forwards.
E/E – If a clip is loaded, pressing E/E will unload it and
show last record train loaded at its current recording
position, the timecode in the display above will be
running to indicate current position.

Note: By right-clicking on the E/E button a
contextual menu will show the available record trains,
selecting a train will go to that train at its current
position. A train which is being played through the
network to this output channel will be approximately 3
seconds behind current network timecode.
Indicates the record train which the channel will return to
when the E/E button is pressed.
There are also direct access buttons on the ShuttlePRO
controller to select Trains on a channel
PREVIOUS TRAIN: Selects the previously selected
Record train, pressing twice moves back another
selection, etc…
NEXT TRAIN: Selects the next Record train, if on the
‘cam A’ train it will move to ‘cam B’ , etc…
SELECT TRAIN: Calls up on the VGA a list of channels
available, by moving the jog dial the user can move through the
list to highlight the required train and press ‘Select Train ’ again to
select it and exit the menu
Returns the media to the last point where the E/E mode
was exited.

The button becomes active if the channel is within a clip,
by pressing it the same frame of media will be shown
from the original record train, if it is still available (not
overwritten). This allows for playback beyond the clip
boundaries or to define a new clip around this timecode.
JOG/SHUTTLE BAR – allows for a search of the media
on the channel using a logarithmic scale. Any point on
the line can be selected to activate a speed or the
indicator can be dragged from the current position. If the
left mouse button is used the indicator will return to zero
on release. If the right mouse button is used the speed
will stay at its current setting upon release. There is a
current speed display above the indicator
You can also left click on the predefined speed value
available below the jog/shuttle bar to start playing at the
corresponding speed.
Goto IN – active when a clip is loaded, takes the media
to the IN frame and timecode
Note: Jog and Shuttle control can
also be from a ShuttlePRO controller using
the ring to Shuttle and the centre for Jog

Once enabled in channel explorer gang allows the user
to temporarily gang or ungang the channel from the
group of channels. All controls toggle between gang and
ungang
Sync will force other channels linked to the channel
controlled to synchronise their timecode position to the
same timecode as this controller’s current position
If the channel is in PGM/PRV mode, Take performs a
transition from the current media on the PGM control
panel to the media on the associated PRV channel using
the settings determined in the tools menu. For more
information refer to the menus and settings section of
this chapter
The right display window changes dependant on the
activity being performed on the channel.

For a Clip
If a clip is loaded it will display in green its duration if at
the IN point, as the clip is played it will count down the
remaining time to the OUT point.
The display colour will change to blue when the clip is
positioned outside its current IN or OUT point and
displays the time value (+ or -) from the IN or OUT up to
the end of the clip guardbands.
For a record Train
If the Control Panel is in E/E mode and the current
running timecode is displayed in the left hand panel in
red, the right hand display will show in yellow the
estimated capacity of the record loop for that train.
If an ‘IN’ point is marked on the train the display will be
blue if current time is before the IN and green if after the
IN, the time value indicate the distance from the point
marked.
If an ‘OUT’ point is marked on the train the display will
be green if the current position is before the OUT and
blue if it is after, the time value will indicate the distance
from the point marked.
If pause is pressed on the control panel the left hand
display will indicate the paused position timecode in red,
the right hand display will display the time value that the
record train is away from ‘live’ in green. If the train is
then played the current position is displayed in red on
the left hand panel and the delay from the train’s live
position will be displayed in green as a static value
representing the delay between the two states.
Makes the buttons on the panel inactive to prevent
accidental use of the panel but does not lock the channel
from use by other methods of control such as an LSM
remote panel or Shuttlepro.

Clip Creation
USING THE CONTROL PANEL TO CREATE CLIPS
Marks an ‘IN’ point at the timecode shown in the
timecode display area of the panel, and then enters it
into the display area adjacent to the button

Save Clip Panel Functions
A location can be entered for the clip being made. If no
number is entered the clip will be stored in the next
available location on the page designated for IP Director
clips in the XT setup. Please refer to the

To add an alphanumeric name for the clip, up to 24
characters long

If the IN was marked on a live record chain it will be
cleared. If the IN was marked on a clip, a value for the
maximum clip IN value including guardbands is
displayed.
If the OUT was marked on a live record chain it will be

the maximum clip OUT value including guardbands is
displayed.

If a clip that is loaded to a channel has had a change
made to the IN, OUT, NAME, or other data entered when
originally saved, pressing Update will save the new
settings
The update clip operation can also be done using the
shuttle pro:

When a clip is successfully created, moved or copied the
status bar at the base of the VGA will show the
successful operation.
If an operation has failed the bar will have a red
background warning that the operation was not
successful. Using the drop down feature on the bar will
show a list of recent operations.
To cancel the red background when an operation has
been unsuccessful click on acknowledge next to the
status bar.
SECONDARY CONTROL MODE
Exclusive control of any channel by a third party protocol
can be achieved using the ‘2
nd Control’ feature of aControl Panel which switches the control between IP
Director and the other device, when the port and protocol
settings have been assigned to work in Exclusive mode.
The button toggles the control between the panel
and the secondary control device.

The button is only available if the channel has
been configured with IPDP protocol as the main
controller in exclusive mode.
To configure which protocol and port each channel can
be controlled by, see the

A Switcher, Edit Controller or 3
r d Party Device can takecontrol of a channel by pressing when the
configuration is in Exclusive mode.
When the configuration has been set to parallel mode the
control of the channel is from either IP Director or the 3
r dParty device simultaneously and the second control
feature is inactive.
Clip -List mode
A clip list can be made from a Control Panel to play out
several clips together. The list will play with only audio
and video cuts when the panel is set up as to control one
output from an XT. If a PGM/PRV mode has been set up
then a clip-list can be played with an audio and video
transition between clips.
Note: PGM/PRV mode is only available on
PGM1 and PGM2 of each XT Server.
BUILDING A NEW CLIP LIST
Select New from the clip list menu at the top of the
Control Panel
A new clip-list window will open allowing a name and
storage location to be entered. If no location is entered
the list will be stored at the next location available on
the XT server. The default page on the selected XT is
usually PAGE 0

When completed, the name and clip list number will
appear at the top of the expanded area of the Control
Panel window.
RENAMING A CLIP LIST
Select Rename from the clip list menu at the top of the
Control Panel. The Rename a Clip List window will open
allowing to rename the Clip List.
DISPLAYING / HIDING THE CLIP LIST PANEL
The clip list panel can be displayed or hidden by
selecting Display or Hide in the clip-list menu.
EXPORTING A CLIP LIST
A clip list can be exported to a text file (CSV format), in
order to be print out. Simply select ‘Export to CSV’ from
the clip-list menu.
A ‘Save file’ window is opened asking the name and a
storage location to be entered.
TO ADD CLIPS TO THE CLIP-LIST
To add clips to the list, select them from the Database
Explorer window and drag them onto the clip list area in
the Control Panel. Using this technique, the list can be
added to at any time, even while playing, and clips can
be placed any where in the list using windows techniques
to drop the clip at the desired place.
Note: If the list is playing then a dark green Highlight
marks the currently playing clip, the next clip has
a light green highlight, these clips cannot be
changed or moved while the list is playing.

TO PREVIEW AND ADD CLIPS TO THE CLIP-LIST
Set up an association to the channel being used to build
the clip-list with a Database Explorer window by dragging
the channel name from the channel explorer into the
Database Explorer list.
The name of the channel now appears on a green
background in the bottom right of the window.
Select on the Database Explorer window, each
clip selected then loads to the control panel. It can then
be previewed and dragged into the clip-list as required.
To do that, simply select the grey zone located between
the EE and the SKIP buttons and drag it at the desired
position in the clip-list (as shown on the drawing above).
The clip loaded on the channel is now added in the cliplist.
TO CUE THE CLIP-LIST

TO CHANGE THE TRANSITION IN A CLIP-LIST
Only active when in PGM/PRV mode a transition type and
effect duration for the whole clip-list can be set, there is
also a default value defined in the settings area of a
Control Panel, please refer to the Tools section above
for details
TO MANIPULATE THE CLIP IN A CLIP-LIST
To move a clip within the list, select it and place it using
a drag and drop technique into the new position.
Alternatively by right clicking on the clip list area there
is a contextual menu for some common tasks required in
the building of a clip-list, including the ability to Cut,
Copy and Paste a clip.
View Clip
Loads the selected clip onto the panel and changes the
panel to ‘clip’ mode. A clip can also be viewed by
dragging from the list to the left part of the panel

Remove Selected Clips
Removes the selected clips from the clip-list, this
requires a confirmation on the pop up window to
complete the action.
Remove All Clips
Removes all clips from the Clip-List, this requires a
confirmation on the pop up window to complete the

Note: When all Clips are removed, the cliplist
is also removed from the XT Server
Step Mode
It is possible to play a clip list in Step Mode with 2
options:
Pause on First: this setting will stop the clip-list on the
first frame of each element in the list, until play is
pressed to continue
Pause on Last: plays to the end of a clip and stops until
play is pressed to continue
CLIP-LIST BUTTONS ON THE CONTROL PANEL
When a Control Panel has a clip-list CUED, there are two
extra buttons on the Panel:
Skips the next clip in the list and plays the following clip

Moves on from the currently playing clip and goes
instantly to the next clip, if in PGM/PRV mode it will use
the transition set for the list.
COLUMN HEADINGS AND CLIP STATUS IN A CLIP-LIST
T/C Track:
The timecode that appears on the output ofthe XT Server when the clip-list is played. It
corresponds to the original timecode of the clip played in
the clip-list.
Status:
Local clip - stored on the XT Server that the
clip-list is on.
Distant Clip - stored on a different XT Server
to that the clip-list is on, but the clip is
available to play.
Distant Clip - stored on a different XT Server
to that the clip-list is on, and the clip is not
available for play back.
If the background to a clip in a clip-list is red, when the
clip-list is playing, the clip is not available and will be
skipped

There are three ways to load a clip-list to a channel:

DATABASE
EXPLORER
Introduction
Database Explorer is an application designed to allow
the user to organise and search all media and data that
is available within the server network into a system by
which any user can access it, whether they have
knowledge of the ‘clip hierarchy’ methods used in EVS
XT servers or by using standard windows database
search techniques.
To open the Database Explorer select it from the menu at
the top of the IP Director window.
A new window will open with a familiar ‘explorer’ layout.
A menu tree to the left displays various headings to
allow the user to filter the media and display associated
data; the results are shown in the right pane of the
window.

Clips
One library method used by IP Director is to mimic the
hierarchical structure adopted by the XT range of servers
to store media, which is based on the remote panel
design with a limited amount of buttons and desk space
UNDERSTANDING XT CLIP STRUCTURE
Each XT unit can store up to 900 clips (with each clip
containing up to 6 sub clips, lettered A to F)
Note: 900 clips with up to 6 sub-clips per clip results in
5400 "clip registers" in the memory. But the maximum
number of clips on each XT system is 4096. This number is
displayed in the upper right window of the VGA Setup Screen
(Shift+F2 from the PC keyboard). If you are working with IP
Director and a number of XT machines in an X-Net SDTI
network, keep in mind that the total number of clips on the
entire network is limited to 6,000 or 16,000, depending on the
network settings used. This number is displayed in the same
area on the XT VGA Setup Screen.
The following diagram represents the hierarchy of the XT
clip numbering system. As an example, clip number
"129C" is used:
Additionally the number of the XT Server within the
network structure is also be added to define the precise
location of the clip, for example if clip 129C is stored on
the machine allocated with the network number 2 the clip
would be identified as 129C/02.

machine can be searched by filtering down in the tree
from network number -> page -> bank
CLIP DATA COLUMN HEADINGS
For each clip there are variable width columns providing
information about the stored clip, some of the details can
be edited from here, others are for information, all of the
headings can be used as filters when searching for
Media.
Note: For details of how to hide or show the columns
see the section Database Explorer Tools in this
chapter
THUMBNAIL: A reference frame from the clip can be
shown to visually identify the correct material
KEY THUMBNAIL: A reference frame from the Key clip
can be shown relative to the Fill clip selected
NAME: A clip can be automatically named using a
configuration setting in the XT, added from the XT
keyboard, or from the IP Director Control Panel when
using it to create clips.
LSM ID: This is the clip number and location of the
media as explained in the ‘clip’ section above. This
number could change if the location of the clip is moved
within the XNet.

ID MATERIAL: A unique identifier given to an original
clip by EVS not generally in use at an operational level.
This ID stays with the clip and will keep track of copies
of a clip related to the original by using this ID as it will
not change on the clip copies.
ID LOUTH: An ID generated to give the clip a UmID. This
ID is unique for every clip that exists. It will not change
when a clip is moved. Each new copy of a clip will also
have a new ID Louth
CAM PREF: This Column displays a preference value
that is generated when clips are created from an LSM
control panel
STATUS: Displays the archive status of a clip in relation
to the XFile archive device on the XNet

Archive of clip pending
LEVEL: A rating can be given to a clip based on four
levels from no stars to ***. This can be done during clip
creation or via the IP Logger at any time and can provide
a useful search filter for use in the Database Explorer.
T/C IN: The short ‘IN’ timecode of the clip
T/C OUT: The short ‘OUT’ timecode of the clip
DURATION: The clip duration from
T/C IN to T/C OUTIN: The ‘IN’ timecode of the clip including Guard bands
OUT: The ‘OUT’ timecode of the clip including Guard

AUDIO TYPE: How many audio tracks the clip has.
AUDIO COMPRESSION: The value of compression
used in recording

recording the clip.

mouse to show the contextual menu and select Edit.
The Edit Clip window appears offering the ability to add

Using Drag and Drop
A clip can be selected in the right pane of the Database
Explorer and dragged to a new location on the XT tree

Using this technique the clip will be copied or moved to
the first available location in the section of the tree it
was dropped upon:
If the Clip was dropped on an XT level of the tree it
would be placed in the first available space in the XT clip
structure.
If the Clip was dropped on a page level of the tree it
would be placed in the first available space in the page
structure.
If the Clip was dropped on a bank level of the tree it
would be placed in the first available space in the bank

To Place in an Exact Location
Select a clip to be moved or copied and right-click on the
mouse to show a contextual menu

A pop up window is then displayed asking for the LSM ID

Servers on the XNet they will take time to
complete. On completion the clip is displayed in
green in the window.
TO SEND A CLIP TO THE DEFAULT ARCHIVE
Select ‘Send To / Default Archive’ from the clip
contextual menu to send a clip to the session folder of
the XFile defined as the default XFile on the XT Server
where the clip is physically stored.

how to define the session folder.

TO SEND A CLIP TO A DESTINATION FOLDER
(DESTINATION TARGET)
Select a predefined destination directory (target) from
the ‘Send To’ sub menu of the clip contextual menu.
This destination folder can be located anywhere on the
IP network. This gives full flexibility to directly send A/V
mxf files to third party systems (i.e NLE systems).
Add a Destination target
To Add a destination target to the list, select ‘Add a
target’ from the ‘Send To’ sub menu.
Alias : The name of the target as it will appear in the
contextual menu.
Target : The destination folder where the file will be
copied. Be sure this directory is shared with full control
access.
Wrapping format : The file wrapper. It can be MXF EVS
or MXF OP1A.
Link To : If the box is checked it means you want that all
files sent to the destination target to be managed by one
specific XML unit. Select the unit from the drop down
list.
Delete a Destination target
To Delete a destination target from the list, select
‘Remove Archive Target’ from the ‘Send To’ sub menu.
The ‘Remove Archive Target window’ is displayed.

Select a target from the list, then click on ‘Remove’. A
confirmation message is displayed asking you to confirm
the operation.
TO SEND A CLIP TO AN XSTORE WORKSTATION
(RUNNING CLEAN-EDIT APPLICATIONS)
Select a predefined XStore (CleanEdit) target from the
‘Send To/CleanEdit’ sub menu of the clip contextual
menu. Once the clip has been send, it is immediately
available in the CleanEdit database. It can then be
inserted into a project, edited or played out using
Playout Organiser or CleanPlayout Server.
These destination targets are predefined from the IP
Director remote installer and a corresponding XFile XML
unit must have been correctly configured. Refer to the
IP Director Remote Installer and XFile user’s manual for
more information.

TO SEND A CLIP TO AN AVID SYSTEM USING THE
TRANSFER MANAGER.
Select a predefined AVID TM target from the ‘Send
To/Avid’ sub menu of the clip contextual menu. On a
Unity system, once the clip has been send, it is
immediately available in the Avid media manager
database. It can then be inserted into a bin and can be
inserted into an edit.
These AVID destination targets are predefined from the
IP Director remote installer. Refer to the IP Director
Remote Installer manual for more information.
AVID TM and XFile must have been correctly configured
in order to automate this procedure. Please refer to the
corresponding user’s manual for more information.
MONITORING TRANSFERS
It is possible to monitor all transfers to a destination
target, a CleanEdit or AVID system using the ‘Transfer
Information’ windows from the ‘Tools’ menu of the main
tool bar.

The ‘Transfer Information’ window is displayed.
Clip transfers which are not completed appear in the
‘Pending Transfers’ list. For every transfer, the following
information is displayed: Clip Name, Clip Duration
(including guard bands) and the type of transfer.
Type of Transfers:
- Target (Target name) : all transfers
resulting from a ‘Send To - Destination
target’ operation.
- CleanEdit (Target name) : all transfers
resulting from an ‘Send To - CleanEdit’
operation.
- AVID (Target name) : all transfers
resulting from an ‘Send To - Avid’
operation.
Total duration : is the total duration of all individual
clips that are still pending transfer.
Remaining duration : The system can be setup in order
to put a limit on the maximum duration of a clip (or the
IP Director – Release2 User’s manual Page 97 of 201
combined duration of several clips) that one particular
user can send at a time. The Remaining Duration
corresponds to this limit duration minus the Total
Duration of pending transfers showing you the amount of
time (or rather clip durations) that you can currently still
transfer.
Clips you have created on the server : The system can
be setup in order to limit the number of clips one user
can create on the server. This limit is indicated on the
right side of the progress bar. The number of clips the
user has created on the server is indicated in the ‘Clips
you have created on the server’ box. Once the limit has
been reached, an error message is displayed in the error
list at the bottom of the main window.
TRANSFER HISTORY
The history list of all transfers can be displayed from the
‘Tools’ menu of the main tool bar. Select ‘View own clips
status and history’ from the Tools menu.
In this window, one line corresponds to one transfer.
The information displayed for each transfer is : the
corresponding Clip Name and LSM ID, its type, its
status, an error message in case an error occurred, and
finally timing information.
Clip Name and LSM ID : The Name and LSM ID of the
clip which has been transferred.
Transfer Type : The type of transfer can be :
- Target (Target Name): The clip has been
sent to a destination folder (indicated by
the target name) via a Send To command.
- Clean Edit (Target Name): The clip has
been sent to an XStore workstation
(indicated by the target name) running
CleanEdit applications.
- AVID TM (Target Name): The clip has
been sent to an AVID system through a
Transfer Manager (indicated by the target
name).

Status : The status of the transfer
- SUCCESS : the transfer has been
successfully transferred to the
corresponding target
- IN PROGRESS: the transfer is still in the
transfer queue. It is not completed.
- ERROR: the transfer has not been
successfully completed. Some errors
occurred. Refer to the Error message
column to know what could be the cause
of the error.
Error Message: A message indicating the cause of the
error.
- Not enough space on disk : The file could
not be copied to the destination target
because the disk drive was full. Free
some space on disk.

Starting time: Time when the transfer started.
Ending time: Time when the transfer ended.
TO MODIFY THE T/C IN OR THE DATE OF A CLIP
T/C and date corresponding to the short In of a clip can
be modified from the clip contextual menu. This
operation is very useful when re-ingesting a feed which
must then be associated to a log sheet, or simply
because the A/V material ingested corresponds to A/V
material which was originally recorded at a different T/C
and date.
The ‘Modify T/C or Date’ window is opened.
TO PUBLISH A CLIP
Clips can be published to other groups of users from the
clip contextual menu. Publishing a clip means the clip
will be visible by the members of the group(s) the clip is
published to.

VIEWING THE CLIP PROPERTIES
To know who owns a clip and to which group(s) the clip
has been published to, select ‘Properties’ from the clip
contextual menu.

CLIP-LIST
INTRODUCTION
Clip Lists are a group of clips put together to play out in
a desired order. Depending on the complexity required
they can have video and audio transitions between them
but only one transition type and transition duration can
be used in each clip-list.
CLIP-LISTS TREE STRUCTURE
Clip-lists are stored in bank 0 of each page within an XT; there
are 10 spaces per page giving 100 clip-lists per XT. The tree
structure of the Database Explorer shows each XT Server and a
sub tree for each page.

BINS
INTRODUCTION
All media connected with a particular project or event can be
organized into a bin, regardless of its clip number or storage
location, making it possible to treat the whole X-NET network as
one storage location and searchable by a standard database. The
results of searches can be stored to a bin to allow more
immediate access to media which may be stored on any machine
on the X-Net.
BINS TREE STRUCTURE
The bins tree is created as clips are organized so the sub tree is
customized by the user, this feature which does not use any of
the existing clip structure of the XT platform. By right-clicking on
the bins tree the contextual menu gives a choice of creating a
new bin or a new bin directory, renaming a bin or deleting the
selected bin(s).
TO OPEN A BIN IN A BIN WINDOW
To open a bin window to drag clips into or see clips that
are included in it, double-click on the icon for that bin.

TO DEFINE A BIN RULE
A bin rule is a rule that allows clips made on selected
record trains to be automatically copied to a bin. To
define a bin rule, select a bin and right-click to open the
contextual menu for the bin.

BINS DATA COLUMN HEADINGS
Each Bin contains a list of clips with all the data available with
each clip. The data column heading are therefore the same as

LOGS
INTRODUCTION
The logs section of the Database Explorer allows the user to
browse for a log of any event for which a log has been created
and then to use the free text search engine or Keyword Grids to
filter the data to provide required results.
Folders can be created in the Logs area of the explorer tree to
enhance the database structure and make the collation and
search of data easier.
LOGS TREE STRUCTURE
The logs tree is created by making new directories to store logs
in. The logs tree is customized by the user, by adding directories
relevant to the Production. By right-clicking on the logs tree the
contextual menu gives a choice of creating a new directory,
deleting the selected directory, publishing a directory or viewing
its properties.
The user can take advantage of the Log Directories by searching
all Log Sheets contained inside the directory. This allows for a
search across a range of log sheets instead of all sheets in the
system.
Note: If the user has selected a Directory in the
Logs Tree.. the system will disable the AUTOMATIC
REFRESH for that time being. This is to minimize
wasteful database query updates on the browser
window.

PUBLISHING A LOG DIRECTORY OR A LOG SHEET
A Log can be made available to all users or only to
certain groups of users as defined by the User rights
management system in IP Director. To define the groups
for which a log is visible the publish command is used,
select them from the list of groups and then click on
publish
User rights are set up in the User Manager
program provided with IP Director and can be
set only by an administrator.
If the publish action is done from a directory,
all log sheets present in this directory and its
sub-directories will be published to the selected
groups of users.

VIEWING LOG DIRECTORY PROPERTIES
To establish the ownership and groups to which a Log Directory has
been published, select properties from the contextual menu.
DELETING A LOG SHEET FROM THE TREE
A log sheet can be deleted from the tree when "Delete
selected" is selected from the logsheet contextual menu.
Log sheets must be deleted one by one. A delete
operation is not available from a log directory.
EXPORTING A LOG SHEET FROM THE TREE
A log sheet can be exported from the tree either in XML
or in text format (CSV) by selecting ‘Export’ from the
logs contextual menu. Refer to the IP Logger paragraph
in this manual for more information on log sheet exports.
EXPORTING A LOGGING PROFILE FROM THE TREE
A logging profile used with a log sheet can be exported
from the tree in XML format by selecting ‘Expor current
Logging Profile’ from the logs contextual menu. Refer to
the IP Logger paragraph in this manual for more
information on logging profile exports.

EVENT DATE: The date of the Log Sheet as defined
when it was created.
EVENT: The name of the Log Sheets defined when it was
created.
LOG DATE: The date as defined when the log sheet was
created.
LOG T/C: The captured T/C associated with the data
which has been entered on to the log
DESCRIPTION: Free text entry description added by user
LEVEL: A rating can be given to a log from no stars to
three stars (***). This can be done at any time and can
provide a useful search filter for use in the Database
Explorer.
KEYWORD: The first five keywords associated with this
log sheet
PARENT KEYWORD: The keywords associated globally
to the entire log sheet. The keywords defined in the
second step of the ‘new log sheet wizard’.
ASSOCIATED CLIPS: Any clips which have the T/C on the log within
them, and that have been made on the relevant recorder channels
defined in the log sheet.
AUTOMATIC KEYWORDS: If automatic keywords have been defined
in the logging profile used with the log sheet, a column will appear for
every automatic keyword in the IP Logger list.
Note:
These columns are not displayed if no logging profile isused with the log sheet or if no ‘Automatic keyword’ section was
present in the logging profile.
USER’S FIELDS: If user’s fields have been defined in the logging
profile used with the log sheet, a column will appear for every user’s
field in the IP Logger list.
Note:
These columns are not displayed if no logging profile isused with the log sheet or if no ‘User’s field’ section was present in the
logging profile.
COMMENT FLAG: This feature makes the log entry just a
comment. This type of log will be displayed in the IP
Logger interface with a different color. It can be useful
as a visual aid to separate a group of logged events
appearing within a log sheet, such as the sets of a tennis
match.

There are several methods available to search the
database for media, customizable by the menus and

When enabled, selecting a clip will go to the first frame of a clip
on the associated channel, and play it.
Note: This mode is not recommended when
selecting clips to play for live transmission as there will
be a delay between the loading of the clip and play back.
SEARCHING FROM DATABASE EXPLORER
There are several ways to define the search criteria from
Database Explorer. Each method described here can be
used on its own or in conjunction with other methods to
produce the required result.
Filtering using the tree structure
The Database Explorer application has a tree structure
which enables the first phase of a search for material to
be conducted, by filtering through the tree structure it is
possible to restrict the search to specific locations on
the XNet network, play-lists, within bins or Logs
Using metadata associated to clips / using the filters tool
bar
The icon reveals the filtering tool bar which you
can use to search for clips and see their associated
metadata.

Note: The search can be refined to a specific area of the
database depending on the tree level selected in the tree
structure.
To open a filter
A filter can be opened simply by clicking on the
corresponding button in the tool bar, or by using its
corresponding short cut.
When a filter is opened, the search is not performed, it
only displays the filter parameters which will be used to
refine the search.
To combine filters
Different filters can be used at the same time to refine
the search. For example you can use the ‘Keywords’
filter (selecting ‘Goal’ and ‘Beckam’ keywords in a
keyword grid) with the ‘Date’ filter (today) to perform a
search on all clips which correspond to the goals Beckam
scored today.
To activate the opened filters
To activate the filters and get the corresponding result,
the APPLY button must be pressed.
When the results are displayed, the
APPLY button is surrounded by a green
rectangle meaning that the clips
displayed in the list correspond to the
result of all opened filters.
When the apply button is surrounded by a
red rectangle, it means the clips
displayed in the list do not correspond to
the result of all opened filters. This is
typically the case when you open a new
filter before clicking on APPLY.
To close a filter
To close a filter, click again on the corresponding button
in the filter tool bar. Closing a filter will modify the
search result. It will re-apply all opened filters (now
without the one which has been closed)
To close or reset all filters
All filters can be closed by clicking on the button
in the filters tool bar. This operation will reset the
search result. The list will display all clips based on the

tree level selected in the tree structure.
This operation does not close the filter tool bar so that a
new filter can then be re-applied.
To hide the filter tool bar
Clicking on the icon when the filter tool bar is
displayed will reset the search result and hide the filter
tool bar.
Text search

Search for clips based on a free text. The
engine only searches in the columns
selected in the drop down menu.
Parameters :
Search columns : Define the columns in which the
engine will effectively search for the text entered.
Including/Starting with : Indicates if the engine will
search for entries that include the text entered or only
entries that start with the text entered.
Text : The text to search for.
By Typing a word into the box and pressing the ‘enter’
key on the keyboard a search is performed on the word
entered.
In "including" mode, if 2 words are entered a search will
be performed on both words and produce results
containing either of the words.
If the search criteria are entered within quotation marks
the results produced will be based on the exact phrase
entered between the quotation marks.

dictionary or the filter toolbar (or even pressing ENTER
on the keyboard) a search of the database is performed.
The selected keywords are displayed in the keyword text
box.

For each keyword entered the search is refined, for
example if only one word is entered all clips containing
that word will appear, if a second word is added the
search will only show the results in which both keywords
are found and so on..
Parameters:
Recursive search mode:
When the ‘recursive search mode’ is enabled, if a
keyword is selected in a dictionary, the search will also
consider his child keywords (one level down). So for
example, with the following dictionary:
If the operator selects GOAL from a keyword grid and
selects Germany in the dictionary, the result of the
search will give all elements which has
GOAL and Germany, or
GOAL and Player 1, or
GOAL and Player 2, or
…
GOAL and Player N
If player 1 is the parent of some keywords, they are not
taken into consideration in the search request because
the recursive mode is only available one level down the
selected dictionary tree.
When the recursive search mode is disabled, the
keywords taken into account in the search result are only
the selected ones (and not their children).

Search for events in the Logs Tree
If the log area of the tree structure is selected all events
logged are shown. Selecting a folder or a specific log
sheet within a folder will filter the results according to
the selections made.
It is also possible to search for logs using the filters tool
bar which can be activated by clicking on the icon
in the main tool bar.
The filters available for logs are :
- text search
- T/C
- Date
- Interest level
- Keywords.
All filters are the same as clip filters (see previous
section) except the T/C filter.
Timecode search
Short cut
Shift + Ctrl + T
Description
Search for logs created at a certain
timecode or created within a specified
range based around the timecode entered.
Parameters :
T/C : The timecode to search for.
Range: The range defines the interval around the
timecode entered for which the search will also apply.
The default range entry is 5 seconds.
Grab : If a player channel is associated to the database
explorer, clicking on Grab will grab the current timecode
of that channel.
AutoGrab : If checked and if a player channel is
associated to the database explorer, it will automatically
grab the on-air T/C of the channel every time the user
opens the filter or presses Shift + Ctrl + T on the
keyboard.

To View a event on a log
If a channel is associated with the Database Explorer
and the media is still available on the preview recorder,
selecting the event will show the frame selected on the
channel output, using the arrows in the menu bar or the
next train, previous train buttons on the shuttlepro will
move between available trains at the selected timecode.
HOW TO MAKE AUTOMATIC CLIPS BASED ON A
LOGGED EVENT
To automatically make a clip based on a log entry on the
record train selected as the preview recorder, click on
the event on the log sheet and drag the clip onto a bin in
the Database Explorer tree or onto a open window.
The clip created will have it’s ‘in’ and
‘out’ [points determined by the values
from the "Automatic Clip Creation
based on Logs" which can be found
from "Tools" on the Main Toolbar and
the second tab on the "Settings"

Note: It is possible to create a clip on all relevant
recorders in one single drag & drop operation simply by
holding the SHIFT key on the keyboard.
Note: If the Ctrl key is hold during the drag & drop
operation, the ‘Save Clip’ window is opened. It is then
possible to name the clip and associate some metadata.

To Recall an Associated Clip
If an associated clip is selected from the drop down box
that appears when the associated clip area is selected
on an event, this clip will appear on the assigned output
regardless of its record source. The player area will
display the timecode within the clip that has been
recalled.
A selected clip or group of clips can be added to a bin in
Database Explorer or to clip-list on a Control Panel for
later use by using a drag and drop command from the
drop down box, or by right clicking you can use the ‘Send
to Archive’ function from the contextual menu.
Note: If a monitoring output of the channel
selected is connected to the video card of the
workstation then by opening the Video display panel it
can be seen on the VGA. If control of the channel is
required there must be an RS-422 connection to the XT
machine the channel is part of.

Database Explorer Tools
ORGANIZE
Shows all possible column headings for each section of the folder
tree and allows them to be selected depending on the
requirements of the user. The order of the columns can be
determined using drag & drop techniques in the list. If the column
must be visible in the database explorer list, simply check the
corresponding check box in the
Visible column.LIMIT RESULT COUNT
When enabled this will limit the results of any search to the
number of elements defined in the IP Director configuration tab of
the console management application (1000 elements by default).

INSERT MODE
First :
All new clips will be inserted at the top of a listLast: All new clips will be inserted at the bottom of a list (this is
the default).

REFRESH OPTIONS
To refresh the Database Explorer display when necessary, for
example when new clips are automatically inserted in a bin they
are not automatically displayed, pressing refresh will update the
bin
When a large amount of data is present in the system the
Automatic refresh of all associations can slow down the operation
of the system, to only refresh the system on demand, disable this
option
STATUS AREA
The area at the bottom left of the window shows in green how
many elements there are in any list or search produced in the
explorer window.
ASSOCIATION ZONE
The area at the bottom centre of the window shows if the
database window is linked to another window (like a keyword
grid) to share information or to create thumbnails using an
association to the video display panel.

TO CREATE THUMBNAILS IN DATABASE EXPLORER
To create a thumbnail a video display window must be
associated to the Database Explorer window.
To establish the association drag the association zone of
the video display panel to the association zone of the
Database Explorer window.
Press the Photo button or use shift + P from the
keyboard to add the thumbnail to the selected clip
Note: For IP Director to create a thumbnail in this way,
the output of the selected channel must be
connected to an input of the workstation’s video
board and the picture displayed in a video display
window on the VGA
Note: Thumbnails can be created automatically when
there is an X-File designated within the
thumbnails configuration in the Management
Console application of IP Director. Please see
the Technical Reference manual for further
details.

IP Logger
Introduction
IP Logger can be used to create a log which relates events with
timecodes, camera angles, clip numbers and metadata in a fast
and efficient way, so as not to interfere with, but compliment a live
production, whilst also producing invaluable data for use of the
material during or after the event.
Once the live event is over, the log can be refined as necessary
because IP Logger can be used to add events to a log at any time
on any recorded media declared relevant. It will associate any
clips then found on the X-Net with the log.
Also a previously recorded feed can be reviewed and a log post
produced, as the clip association data is always updated
whenever a new event is recorded in an active log
To Start IP Logger
To start a new log sheet, click on File and select New Log Sheet
in the menu. This starts the log sheet wizard with 4 Steps to
define the parameters for the Log. Each step is concisely
described on screen to assist in defining the characteristics of the
log.

Step 1:
A name and a date for the log must be defined. A description is
optional as it will only appear in the log characteristics screen.
Parent:
The log sheets are filed in the Database Explorer in a tree structure, the
Parent field allows the log sheet to be placed in a particular folder in
this structure. Browsing in this field displays the folders already created
in the Logs section of the Database Explorer

Select Logging Profile
A logging profile is a file generated to enable specific User Fields to be
added to a log sheet or Automatic Keywords to be managed in events
(logs) on a log sheet. Initially, the Logging Profiles must be created
outside the IP Director interface as an .XML file. In a later release they
will be created from within IP Director. A list of all imported Logging
Profiles will be shown in the drop down box. See ' How to Import a
Logging Profile’ later in this chapter for details.
Step 2
A list of all keywords that are in the IP Director database is displayed.
By associating any of these with the log sheet, each event logged will
have these as an additional set of parent keywords. When performing
a search of the database, for example if a team name is added here, in
any database search with that team name will include all items from this
log sheet. Any parent keywords used must therefore have relevance for
all events in the log sheet.
Step 3:
Each record channel on any XT server within the XNet can be defined
as a relevant source to have log information associated with it.
Similarly, if a channel recording a source which is not relevant to the
current log sheet then it should be excluded from the list.

Right click in the ‘relevant recorders’ list to define a ‘preview recorder’.
The preview recorder definition is used to provide the timecode
displayed in the LIVE area of the log sheet. It will also be the angle
selected when the operator double clicks on an event in a log that loads
to a channel for viewing.
Note: The Preview Recorder MUST be assigned to a record
channel that is managed with a RS422 link to the XT server the channel
is on. If not, the Log Sheet will NOT function correctly, and no LIVE
Timecode will be displayed.
Step 4:
Defines all User fields requested in the selected logging profile. If no
Logging Profile has been defined in Step 1 or if no User Field section
has been defined in the logging profile, this area will remain ‘greyed’
and inaccessible.
If a Logging Profile has been selected, then more information can be
added to the Log using the User’s Field definitions available in the
wizard.
A Logging Profile can also contain a definition of Automatic Keywords
to be used on a Log Sheet. If a definition has been made the Log Sheet
will contain a tab window next to the Log Information tab to permit the
addition of Automatic Keywords to events within a Log Sheet.

When the Wizard has been completed it will show its name and a
running timecode in yellow in the ’LIVE’ window
Note: If running timecode is not displayed in the ‘live’ area, it means
the ‘preview recorder’ is located on a server with no RS-422
connection to the IP Director network.

To use the log sheet effectively it is necessary to have previously
set up and named one or more Keyword grids for use with the
log. Once set up, as many keyword grids can be used with a log
as required. Each log element can have keywords added to it.
A Keyword can also be nominated as a "participant" keyword
which creates an individual column within the log. This feature
could be used to distinguish the competitor or player information
from action keywords entered which are in the keyword column
Note: For more detail on how to create keyword grids please refer to
the Keyword Management section in the manual.
Open the Keyword grid(s) required by
selecting from the title bar and using
"Keywords" and "Keyword grid".
A grid layout type can be selected
using the Customize option. The size
of the window and its screen position
can be determined using normal
windows selection techniques.
The keyword grid must be in
EDITmode.
Notes: A user must have the rights to modify keyword grid to be able
to change a Keyword Grid layout.
The Keyword Grid layout is kept in the Ip Director database
which means that you work on shared data.
All actions undertaken on Keyword grid layout will have
reverberated therefore on each Ip Director.
It is possible to use 2 VGA screens on one IP Director
Workstation dependant upon the graphics card installed in the
Chassis.
To Add Automatic Keywords to events in A Log Sheet
Automatic keywords functions like a ‘sticky keyword’ that will persist
though all log entries made until the automatic keyword is changed.
This is especially useful when tracking the pitcher in a baseball game,
or a Period of action in a sports event, or program part of an
entertainment event.

If a definition of Automatic Keywords has been made in a Logging
Profile the Log Sheet will contain a tab window next to the Log
Information tab to permit the addition of Automatic Keywords to events
within a Log Sheet.
Each heading defined in a Logging profile appears on the tab as a free
text field or as a drop down list (as defined in the logging profile)
offering a choice of Keywords to be assigned automatically with each
event created. Each heading is a column available on the Log Sheet
and any keywords selected are added to that column upon event
creation.
Note: If running timecode is not displayed in the ‘live’
area, it means the ‘preview recorder’ is located
on a server with no RS connection to the IP
Director network.
To add a word to an automatic keyword combo box simply click
on the ‘+’ button next to the appropriate combo box. The
following window will appear:

HOW TO OPEN AN EXISTING LOG SHEET
To open an existing log sheet, select File and then Open Log
Sheet in the window.
HOW TO UPDATE THE LOG FILE ATTRIBUTES
To update the information entered in the Log Sheet Wizard, select File
and then Properties. Select the relevant area of the Wizard and make
the changes.
HOW TO IMPORT AN EXISTING LOG SHEET
If a Log Sheet has been made on another unconnected IP
Director Workstation in a separate location, for example at a
Sporting Venue, and the Log Sheet is to be used within a
different system, for example in a Post Production area it can be
imported using the Import command in Log Sheet File Menu
Note: Once the media has been restored or published on the
XNet network, it will be automatically associated with the imported log
sheet.
The log sheet must be imported after the media has beenrestored or published.

HOW TO EXPORT AN EXISTING LOG SHEET
If a Log Sheet is to be used within a different system it can be
exported using the Export command in Log Sheet File Menu.
The log sheet can be exported in 2 different formats : XML or
CSV.

XML files can be re-imported into another IP Directorworkstation at a different location.

CSV files can be re-imported into software such asMicrosoft Excel ® to produce a print out.
HOW TO IMPORT A LOGGING PROFILE
To Import a Logging File use the command from the File menu
(Import -> A logging profile) from the IP Logger application and
browse for its location.
Then specify a Name and a Description for that profile. This
information will be displayed in Step 1 of the wizard when you
create a new log sheet.

XML LOGGING PROFILE
The IP Logger has an optional method for incorporating User Fields and
Automatic Keywords into Log Sheets. To manage which data should be used in
a Log Sheet being created, an XML file is imported into the system.
The XML schema is separated into three parts:
HEADER – Information about the Logging Profile
NAME – To be used to select which profile will be used for log
sheet
Description – To add more detail when selecting a profile for log
sheets
USER FIELDS – Data entered when defining a new log sheet (required
fields for new log sheets)
Header – Name of User Field

the Combo box

export the currently used Logging File use the command from the
File menu to export as an .XML file.
HOW TO DELETE A LOGGING PROFILE
A logging profile can be deleted from "Tools/Logging manager" in
the main menu bar. If a logging profile is used in a logsheet
which has at least one log, it cannot be deleted and will not
appear in the list.

HOW THE CLIP ASSOCIATION RULE IS DEFINED
For a clip to be associated with the event timecode entered into a log it
must contain that same timecode. The guardbands of the clip are also
taken into consideration.
HOW TO ENSURE ALL EVENTS LOGGED ARE WITHIN A
CLIP ON THE RELEVANT RECORDERS
Using the
Protect all media associated to logs command from theTools menu, clips can be made on all relevant recorders to include the
first event timecode (first log) and the last event timecode (last log) on
the Relevant recorder trains. This will protect all media associated to
the entire log sheet. It will then be possible to keep access to all
relevant recorders A/V data even days after the event.
RESYNC TO PREVIEW RECORDER
Must be seen with R&D what it does exactly.
LOGGING COLUMN HEADINGS ORGANIZER
To add or remove the data columns visible in a Log sheet, use the
Organize command from the Tools menu
The pop-up window allows a choice making each heading visible by
ticking the check boxes, a default setting can be chosen using the
button on the window.

To add events and data to use the log sheet effectively it is necessary
to open relevant Keyword Grids. These are usually best prepared in
advance of the logging session although they could be produced and/or
modified at any time. As many as Keyword grids as required can be
used with a log.

refer to the Keyword Manager section of the manual.
Open the Keyword grid(s) required by selecting from the title bar and
using "Keywords" and "Keyword grid".

EDIT mode, a grid layout type canbe selected using the tab or defined
using the selection. The size of the
window and its screen position can be determined using normal
windows techniques.

Press ‘New’ on the Live section of the Panel, a timecode is grabbed
and placed in a new window which opens on the log sheet.
Click on the rating Level stars, use the keyword grid(s) or use the free
text area to associate data with the timecode value shown.

of log will be displayed with a different color in the log sheet.

When complete use the Insert button to add to the log being produced.
Any clips made on the relevant record channels of the XNet will appear
on the log whenever they are created, even if this is significantly before
or after the grabbed timecode, the log will automatically update
whenever it sees a clip containing the recorded event timecode.
HOW TO ASSIGN A PLAYBACK CHANNEL FOR USE
WITH AN IP LOGGER WINDOW
To assign a playback channel for use with IP Logger open channel
Explorer, select a channel and assign by dragging it onto it to the log
sheet in the box to the right at the base of the panel. The channel name
will then appear in green in this area.
Additionally, the player area will become active and show the timecode
of the selected channel in green, if the channel is in a EE mode it will
be the same as the live area timecode.

By selecting an item in the log, right-clicking to see the contextual menu
and selecting , a new edit window appears allowing the
addition of more details to previously logged action at any time.

The time code position can be manually modified in the Timecode Field
in the ‘Edit a log’ window.
Note: The time code field will clear as soon as the user types…therefore it is
necessary to re-enter all the Timecode information into the window and press TAB
or ENTER to validate the entry.
To View and Edit a logged event
Or alternatively, to modify the timecode position of the logged event,
can be selected from the contextual menu. The log is
then loaded on the player channel at the relevant timecode position. By
jogging the player channel to a new position and using the

By double-clicking an event from the log the channel will go to the
specified timecode on the record channel defined as the preview
channel for the log.
Also, selecting the event and right-clicking displays the contextual
menu. Select to load the media to the player channel.

To Recall an Associated Clip
If an associated clip is selected from the drop down box which appears
when the associated clip area is selected on an event, this clip will
appear on the assigned output regardless of its record source. The
player area will display the timecode within the clip that has been
recalled.
Note: If a monitoring output of the channel selected is connected to the
video card of the workstation then by opening the Video display
panel it can be seen on the VGA. If control of the channel is
required there must be an RS-422 connection to the XT machine
the channel is part of.
A clip or group of clips can be selected from the drop
down list and added to a bin in Database Explorer or to
clip-list on a Control Panel for later use by using a drag
and drop command. The ‘Send to Archive’ function can
be selected from the contextual menu opened with a right
click. For more information on archiving, refer to the
‘Archive clips’ section in the database explorer chapter.

How To Make Automatic Clips Based on a
Logged Event
To automatically make a clip based on a log entry on the
record train selected as the preview recorder, click on
the event on the log sheet and drag the clip onto a bin in
the Database Explorer tree

determined by the values from the "Automatic Clip
Creation based on Logs" which can be found from "Tools"

Management
Introduction
Keywords are an essential element to the IPDirector
system, bridging the gap between the XT servers and a
conventional database by allowing the user to search for
material using keywords which relate to the media rather
than searching by storage locations.
Keywords allow you to perform searches in logs or clips in
a unified manner. Every user can thus be certain that the
media and logs are indexed in a structured manner so as
to provide accurate search results.
This application provides tools to add data to the
database. It allows the addition of individual words,
importation of existing Keyword Grids of up to 300
keywords, or the importation of 3
r d party text data into theIPDirector database. Using Keyword Management tools it
is possible to create and edit Keyword Grids, Keyword
Dictionaries and also to import and export keyword files
between different IPDirector installations. Keyword files
made on an XT Server are also importable.

Dictionaries allow you to manage all your Keywords in a
structured hierarchy. This hierarchy allows for similar
items to be grouped under headings that are collapsible
and expandable.
Keyword List Tool
The Keyword List tool allows adding, removing or
renaming Keywords in the IPDirector Database.
Note: The Keyword List is kept in the IPDirector
database which means that you work with shared data.
All actions undertaken on Keyword will be reverberated
on each IPDirector.

ADDING KEYWORDS
To insert a keyword, type the word into the edit box and
click "Add" or immediately press "Enter" on the keyboard.
Note: A Keyword can also be nominated as a
"participant" Keyword. This feature can be used to
distinguish between the competitor or player keywords
and the action keywords.
To insert a participant keyword, type the word into the
edit box, activate the participant checkbox and click
"Add".
The participant keywords can be
differentiated by a little blue icon next to
the keyword.
CHANGING KEYWORDS TYPE
You can change a keyword to a participant keyword by
selecting the keyword, right click on the keyword and
select "Define as participant keyword" from the
contextual menu.
You can change a participant keyword to a standard
keyword by selecting the keyword, right click on the
keyword and select "Reset participant keyword" from the
contextual menu.

RENAMING KEYWORDS
To rename a keyword, right click on the keyword and
select "Rename keyword" from the contextual menu.
The keyword name is highlighted; you can
then rename it and press enter to validate
your modification.
Note: The system does not accept several keywords
having the same spelling (case non sensitive).
If a keyword is already present in the list, a popup asks
you if you want to replace the existing keyword with the
new one.

DELETING KEYWORDS

o delete one or more keywords, select them from the
list, then select "Delete keyword" from the contextual
menu by right clicking.
Note: A Keyword displayed in yellow
means that they are used in a currently

You can delete all unused keywords from the database
by selecting "Delete all unused keywords" from the "File"
menu of the Keyword List Tool.

REFRESH LIST
Several users can add some keywords from different
IPDirector Workstation at the same time, in some cases;
the list is not refreshed automatically.
You can force the manual refresh while selecting the
"Refresh" button on the main menu.
IMPORT KEYWORDS
You can import a keyword file with multiple keywords in
it, for instance a team line-up or squad by selecting
"Import" from the "File" menu of the Keyword List Tool.
Note: To import a keyword file it must have a .txt
extension and each keyword must be on its own line
within the file. If the general IPDirector settings are not
set to manage 64 characters keywords, the keywords are
truncated to 12 characters if they are longer. Also, extra
characters should not be present in the text file
(example: #, %, @, TABS, etc)
UNDO (IMPORT KEYWORD)
You can cancel the last Import of Keywords by selecting

"Undo last import" from the "File" menu of the Keyword
List Tool.
EXPORT KEYWORDS
You can export the current listed keywords by selecting
"Export" from the "File" menu of the Keyword List Tool.
The keywords are saved in a .txt file.
This can be used to transport a set of keywords between
two IPDirector Workstations in different locations and not
on the same IPDirector network.
Keyword Grid Tool
A Keyword Grid allows the user to build groups of up
to 300 keywords in a specific field position in a grid.
These will normally first to be associated with log
sheets and individual clips, and then subsequently
be used to search the metadata to retrieve required
media.
The Keyword Grid tool allows creating, modifying or
deleting Keyword Grid in the IPDirector database.
Note: The Keyword grids are kept in the IPDirector
database which means that you work with shared data.
All actions undertaken on Keyword grids will have
reverberated on each IPDirector.

To help in discriminating which words have already been
used on a grid, each word already used in the active grid
is highlighted in yellow text. Keywords used in other
grids are not highlighted unless that grid is opened and
the keyword grids with the current windows focus.

reverberated on each IPDirector.

MOVING KEYWORDS IN A DICTIONARY
To move keywords from one parent to another, select the
keywords and drag them onto the new parent keyword.

Ingest
Scheduler
Ingest Scheduler allows for clips to be automatically made on any
channel under the control of IP Director at either a time scheduled in
advance or entered manually by the user, this means multiple events
over a period of time can be automatically recorded and protected. A
clip can be created on a channel and assigned a name, level rating and
have metadata associated it, and also be placed into a bin in the
Database Explorer.
Note: The Ingest Scheduler does not start or stop the record channels.
The recording process must have been manually or automatically started
before the scheduled events.
In LSM mode, records are automatically started at boot up. In IPDP spotbox
mode, the parameter ‘Automatically start record’ must have been set ON to
start the recorders when the system boots up. In both modes, it is possible to
manually start or stop recordings.

HOW TO OPEN INGEST SCHEDULER
Ingest Scheduler can be opened from the Main Tool Bar of IP Director

The Scheduler window will appear in an inactive state as no record

Introduction
Channels of the XT series servers can be ganged
together in a specific style called FILL & KEY. This mode
manages assignments of clips, and forces them to recall
to the appropriate channels, so as to allow the operator
to perform synchronized clip recalls in a Fill & Key
scenario (sometimes called FILL & Matte)
Ingest key and fill clips
AT CLIP CREATION
Clip can be defined as Normal, Fill or Key clip when
metadata is assigned to it.
By default the clip type is set to Normal.
Select the Fill button to define the clip as fill clip.
Select the Key button to define the clip as key clip.

AFTER CLIP CREATION
The clip type can be modified after the clip creation. To
edit the metadata of an existing clip, select the clip from
the database explorer, right click on the mouse to show
the contextual menu and select edit.
The Edit Clip window appears offering the ability to

Key and fill clips association
ASSOCIATE KEY AND FILL CLIPS
To associate a Key clip to a Fill clip, select the Key clip
required from the database explorer press CTRL+
SHIFT+ DRAG and move the mouse to the Fill clip you
want to associate the selected Key clip to. Release the
mouse to complete the process.
Note: When a clip is eligible to be dropped onto a
clip as a Key association, the mouse cursor will change
to a + indicating its ability to be assigned to the fill clip.
This association can also be done by moving the Fill clip
onto the Key clip.
If the clips are not Key and Fill clips, this operation will
automatically convert them into Key and Fill clips.
It is also possible to drag and drop a normal clip on a fill
clip. The normal clip automatically becomes a key clip.
Note: Key clips and normal clips can not be dragged
onto a key clip. If you drag such clips and drop
them on a fill clip which is already associated
with a key clip, a confirmation message has to be
answered to change the association.
Note: A key clip can not be dragged onto a key clip.

By right clicking the fill clip, you can get more

The corresponding key thumbnail is displayed with
specific information (clip name, clip ID, IN, duration).
Note: A thumbnail for the Key clip will only
appear if the user has manually defined a thumbnail

To browse key and fill clips, assign a channel to
Database Explorer. Choose an available channel from
the channel explorer window and drag it on to the
window area of Database Explorer.

The system displays key clips. You can browse the
selected clips directly from the Database explorer by
double clicking a clip.
Fill clips
To browse fill clips only, select the Fill button in the
Database explorer toolbar
The system displays fill clips. You can browse the
selected clips directly from the Database explorer by
double clicking a clip.
Fill & Key clips
To browse fill and key clips only, select both buttons in
the Database explorer toolbar.
Note: If the channel assigned to the database
explorer is a FILL or KEY channel, and you try to preview
an opposite clip (Fill clip on a Key channel), the system
will prompt the user to answer Yes to load the clip onto
the channel, as it is normally desired.

GANG CHANNELS IN FILL AND KEY MODE
To associate 2 channels together for use with Key and
Fill operations use the standard command of shift + click
or ctrl + click to select the channels required in Channel
Explorer, then use a right click to see the contextual
menu, and select the Fill Key command from the menu.
The association will be shown in the Channel Explorer
by a on the Fill channel and a on the Key
channel and also will be reflected in the title bar of the
Control panels

The Key and Fill channels selected must be onthe same XT server, but do not have to be

To load key and fill clips on key and fill channels. Drag
and drop the fill clip onto a Fill channel. The associated
key clip will automatically be loaded onto the Key

If the fill clip has no associated key, the key channel
output is muted to black or white, depending on your
settings.
To set the default colour displayed on the Key channel
when no specific key clip is available, select
‘Tools/Settings’ from the main menu.

TOOLS
The Tools selection from the main Toolbar gives access to User
settings, refresh options and Keyword Management for the IP Director
User logged on.
Settings
A window offering 3 tabs of settings for transport,
clip creation, and Take Effect. Each Tab contains a
description of the settings as shown in the pictures
below.
The settings are applied to all Control Panels on the
Workstation; they are not specific to only panels
currently active.

Automatic Clip Creation based on Logs allows for a clip to be made
around a captured timecode on a Log Sheet using the parameters
defined in this Settings menu. For more information on the creation of

selecting this option and clicking on start refreshes all links for all
logged events and clips present in the IP Director and X-Net networks
REFRESH THE KEYWORDS ASSOCIATED TO THE CLIP FOR A
LOG SHEET: selecting this option, choosing a Log Sheet from the list
available and clicking on start refreshes any Keywords that should be
associated with a clip within the specified Log Sheet
REFRESH THE ASSOCIATION BETWEEN LOGS AND CLIPS FOR A
LOG SHEET: selecting this option, choosing a Log Sheet from the list
available and clicking on start refreshes any clip associations between
logged events and clips within the specified Log Sheet
ASSOCIATE A CLIP TO A LOG SHEET: selecting this option,
choosing a Log Sheet from the list available and then a clip enables an
association to be made if the clip date and timecode properties appear
within the selected Log Sheet.
DELETE A LOGGING PROFILE : selecting this option, choosing a
Logging profile from the list available and clicking on the ‘Delete’ button
deletes the logging profile from the database. Only logging profiles
which are not currently used in a log sheet can be deleted.
RECREATE ALL THUMBNAILS
This setting enables the creation of thumbnails from a
particular XT when there is an X-file in the X-Net network
set to create thumbnails. Normally this process will
function as a b
ackground process. If a system needs tohave it’s clips thumbnails recreated, this window allows a
manually initiation of that process.
The ‘recreate’ button will send XML files to the Xfile on the
network that will create thumbna

LOCK KEYBOARD
This locks the Keyboard from use on the Workstation
and the main Toolbar changes to Red as a warning of

ShuttlePRO
Configuration
Introduction
ShuttlePRO consists of two components:

the ergonomically designed device•
the software that allows you to manage it.It has a Jog wheel and a Shuttle ring that are
programmable, and fifteen programmable buttons. The
two top rows of buttons on the ShuttlePRO series have
labels inserted for quick reference as to which
functions each button is programmed to perform.

Default Button Configuration
When the CDIShuttle.pref file has been loaded using
the Management Console there are shortcuts loaded to
the programmable buttons of the Shuttlepro. There is
different functionality to the controller depending upon
which mode the IP Director is being operated in. There
are buttons on the lower part of the controller that
have a function at either end. Other buttons have
CTRL from the Keyboard as a modifier to change the
button function, in the diagrams below these functions
are shown in
RED.Details of the functionality of the buttons are included
in the Control Panels section of the manual. The
diagrams below are quick reference guides to the
location of the functions

VIDEO
DISPLAY
Introduction
The Video display allows the user to see a display of
video in a window on the VGA output of an IP Director
Workstation.
Open the Video Display panel by selecting it from the
main title bar of IP Director.

To display video in this window the correct board must
be selected from the menu on the window
Use this menu to select the correct settings for the video
board used in the Workstation, please refer to the Video
board User Manual for information on the required
settings.
TO DISPLAY VIDEO ON THE VIDEO DISPLAY WINDOW
To be able to display a channel a physical connection
must be made from the required video source to the input
of the IP Director Workstation video card.
Note: To display video on the VGA uses around
25% of the CPU power of the workstation for a display
size of 384 x 288, more if a larger display is required.
The reactivity of the IP Director interface could be
significantly slower if larger window sizes are used.
TO ASSIGN THE VIDEO DISPLAY TO A CHANNEL
To create thumbnails or control the video being
displayed, a video display window must be associated to
a Control Panel or the Database Explorer. Please refer
to the corresponding application sections for more
information
To establish the association of a Control Panel, drag the
association zone of the control panel to the association
zone of the video display panel.

To establish the association of a Database Explorer
window, drag the association zone of the control panel to
the association zone of the video display panel.
An assigned Video Display Panel will show the location
and name of the channel selected at the foot of the
window.
AUTOMATIC LINK CHANNEL TO VIDEO DISPLAY
The video display panel can be automatically link to the
corresponding PGM video channel connected to the input
of the IP Director Workstation video card.
Using the Remote Installer Tool, select the Ip Director
workstation and right click on the IPDirector box and
select Edit Config.

The IPDirector Configuration window opens:
The Channel Management allows you to link a PGM
channel of one specific XT to one Video Display (Video
Board). To define a link between a PGM and a video
display :
- check the box in the ‘Linked’ column
- select which video display device it is linked to from
the drop down list in the video display column.
The linked box can be checked without being linked to a
Video Display. For example, this is used when an
external monitor is connected at your workstation.
Note: All these parameters are local to the IP
Director workstation and must be set independently on
all IP Director Workstations using the Remote Installer
tool.
When a PGM channel is
linked to an IPDirector,
you can see it on the Title
bar of the video Display
Panel.

LAYOUT
Introduction
IP Director will always open with the screen layout that
was last used. The Layout menu allows the user to save
and load screen configurations used for the many
different tasks that IP Director can perform.
SAVING A LAYOUT FILE
Open the drop down box by clicking on the layout button
on the main IP Director menu. Use the Save Layout
option and then use normal windows techniques to find
the folder to save the preferred layout to.
LOADING A LAYOUT FILE
Open the drop down box by clicking on the layout button
on the main IP Director menu. Use the Load Layout
option and then use normal windows techniques to find
the folder to load the preferred layout from.

Defining
shortcuts
Introduction
For each application in the IP Director there are
keyboard shortcuts available to make operation faster to
the Operator. All shortcuts can be redefined to suit
individual preferences. A list of the default shortcuts
applied on system delivery is shown under the heading
for each application.
How to change a shortcut setting
To open the Define Shortcut window select Tools from
the main menu and Define Shortcut from the drop down
box

Select the application to define shortcuts in by choosing
a tab. IP Director tab shows all short cuts which are
global to the system and not specific to one application.
Select a shortcut action from the list. It is entered into
the shortcut properties area at the base of the window.
By choosing a keystroke on the keyboard to make the
shortcut available on, it is entered into the keystroke
area at the base of the screen, and the area becomes
green in colour. If it becomes red then the chosen key is
already in use in the application
Select ‘Change’ to confirm the choice of shortcut if the
key is available.
When all changes are complete, click on ‘Apply’ at the
base of the window.
To restore the default values for an application use the
button in the bottom left of the window.

Connections: Main status in the
IP Director interface
THE DATABASE STATUS IS RED.
It means the IP Director has not established the link with
the IP Director database. In the console management
application, in categories/configuration, check
- the name of the database, it must be IpRemote
- the login and password (EVS default is Login : sa,
Password : evs)
- the server name where the database is physically
located
- the Ethernet connection to the database server
Those checks must be done for:
- the SynchroDB service
- IP Director application
- IP Scheduler if in use
If after those checks you still cannot established the link
with the database, check:
- if the SQL server engine is running (check the
icon in the main status bar of Windows XP. It must
appear with a green arrow).
THE XT STATUS IS RED OR YELLOW
It means your physical connection is not established with
the XT server on the XNet network. At start up, it can
take a few seconds before this status becomes green. If
after one minute, the status is not green:
- check all your physical connections

on the XT side, check if the cable isphysically connected to the COM port defined
on the XT server (in the EVS configuration
menu if you are running slave mode or in the
setup of the EVS remote control device if you
are running LSM mode)
o
on the IP Director side, check in the routingservice in the transport tab, the type of the
connection (COM or USB) and the host ID.
The host ID must correspond to the number of
the XT server the IP Director workstation is
connected to.
- check in all routing service applications on all IP
Director workstations connected to on XT server if
the connection is established with the XT server. In
the transport tab, the connection must be started
(green status in front of the COM or USB
connection).
- make sure you do not have 2 IPDP serial connections
to one XT server.
THE SYNCHRODB STATUS IS RED
It means the IP Director has not established the link with
the SynchroDB service. This is generally the case when
the IP Director workstation is started.
Wait a few more seconds and if the link is still not
established after 1 minute, please contact EVS.
Channel Explorer
THE USER DOES NOT SEE AN XT SERVER OR XFILE
DEVICE IN CHANNEL EXPLORER
To see an XT server or an XFILE device in the channel
explorer, this XT must be assigned to be managed by
one SynchroDB service. If managed and connected with
a serial connection to one IP Director workstation, it will
appear with a black font in the channel explorer, if it has
no direct serial connection but is connected via the
XNET network to an XT which has a serial connection to
one IP Director workstation, it will appear grey in the
channel explorer.
Check if
- you have at least one serial connection to the XNet
network
- this connection is started in the routing application.
If the link has not been started in the routing

application, check
o
you have correctly defined your COM portnumber on the XT server
o
you have correctly defined your port type onyour IP Director workstation (COM or USB)
o
you have correctly defined your port numberon your IP Director workstation.
- one SynchroDB service manages your XT server or
XFile device.
ONE XT SERVER APPEARS WITH A GREY FONT IN THE
CHANNEL EXPLORER AND I CANNOT CONTROL ITS
CHANNELS
This means that there are no direct serial connections to
that XT server, you cannot control the channels of that
XT server.
Channel Control
THE USER CAN NOT CONTROL A CHANNEL
If a channel cannot be controlled, check if:
- the control panel interface has not been locked
(check the padlock icon in the control panel
interface)
- the channel has not been locked on another IP
DIRECTOR workstation. Check if there is a red
padlock in front of the name of the channel in the
channel explorer application.
On your XT server, check if your channel can be
controlled by the IP Director workstations. If the channel
has been configured into parallel mode, make sure the IP
Director is the main or the secondary controller.
If the IP Director has been defined as a secondary
controller of the channel in exclusive mode, make sure
the control of the channel has been passed to the IP
Director from the main device (typically an LSM remote
device).
If the IP Director has been defined as primary controller
of the channel in exclusive mode, make sure the control
of the channel has not been passed to the secondary
controller from the IP Director control panel interface
(Check the state of the 2
ND button)Do not forget that you need a serial link to one XT if you
wish to control its channels. Check if the channel you
would like to control is available in the channel explorer
application.

THE CHANNEL OUTPUT IS BLACK
This means your channel is in IDLE state. Load a clip or
a clip-list on that channel OR press the E/E button on the
panel.
If an XT Server is configured in XT Server IPDP mode
the recorders are not automatically started. It is then
possible that when you click on E/E the channel displays
a frozen picture (the last one recorded on the
corresponding recorder channel). At this point, you must
open a recorder panel to start the recorder for that
channel.
A channel can be set to IDLE state when operated as a
fill channel when no key element is loaded. In that case,
the output of the channel can be black.
IP LOGGER
THE T/C IS NOT RUNNING IN THE ‘LIVE’ ZONE
The T/C information is taken from the preview recorder.
The preview recorder is defined in the 3
r d step of the‘new log sheet wizard’: Relevant recorders definition.
You must have a serial connection to the XT where this
recorder is located. Otherwise you do not get the
information of this recorder.
MY CLIPS DO NOT ASSOCIATE WITH THE LOGS
1. Date and time must be the same on the XT network
and on the IP Director database workstation.
- check the time and date on your XT server (press
SHIFT-F2 on the XT server keyboard to confirm the
date/time on the Setup Screen in the Information
Window)
- check the time and date on your database system
2. The date associated with a clip is the date when the
clip has been created and not the date corresponding to
the A/V data. If the T/C of a log is equal to 11:00pm,
and if the clip is created after midnight, the date of the
clip and the date of the log will not match and the clip
will not be associated to the log.
- check when the clip has been created (see in the
database explorer, clips, creation date) and compare
that date to the log.
3. Check your clip association rule.

4. Check in the SynchroDB configuration if the
parameter ‘auto associate clips to logs’ is checked.
5. If after all those checks, your clips still do not
associate with the clips, in the main menu of the IP
Director, select tools/logging association. Force a
manual clip association to your log sheet.
- select the log sheet
- click on START.
THE KEYWORDS ASSOCIATED WITH MY LOGS ARE
NOT PUSHED TO ITS ASSOCIATED CLIPS
(the clips are created on an XT server which has no serial
connection to any ip director workstation)
Check if the ‘Edit clip by network’ parameter is activated
on the corresponding XT server. This allows the IP
Director to edit the clips on the server to be able to
assign keywords to them.
I GET AN ERROR MESSAGE ‘ERROR WHILE CREATING
CLIP’ WHEN I PROTECT THE MEDIA ASSOCIATED
WITH THE LOGS
The preview recorder cannot be changed when the first
log has been entered. If you do so, it is possible the
‘protect media associated to logs’ operation fails.
